The Role: Financial Administrator & Diary Management Coordinator. This dual role sits at the heart of operations, offering an internship opportunity. The purpose of this role is to help keep everything running seamlessly behind the scenes by balancing financial administration with executive diary management. It is designed for someone who thrives in a fast-paced environment, enjoys multitasking, and has a passion for structure, detail, and efficiency.

Key Responsibilities

Process supplier invoices, purchase orders, and payments.
Reconcile accounts, track project budgets, and support financial reporting.
Prepare quotations and cost sheets for events and incentive trips.
Assist with VAT submissions and liaise with accountants.
Follow up on client payments and maintain supplier relationships.
Ensure financial accuracy, compliance, and timely documentation.
Manage calendars for the Executive Director and management team.
Schedule meetings, calls, and travel logistics across multiple projects.

About You

Diploma or Degree in Accounting, Business, or Administration.
Proficiency in MS Office, especially Excel, and accounting software such as Sage, Xero, or QuickBooks.
Excellent organisational and communication skills.
Experience in the events, travel, or hospitality industry is a strong advantage.
A proactive mindset with the ability to handle multiple priorities.
Detail-driven, reliable, professional, trustworthy, and discreet.
Calm under pressure, especially around event deadlines.
Collaborative, adaptable, and someone who enjoys being part of a close-knit team.
Passionate about systems, structure, and seeing things run smoothly.
