Executive Secretary

SUMMARY:
Seeking a highly professional, proactive, and detail-oriented Executive Secretary to provide comprehensive support to the Managing Director and Executive Leadership Team. This role requires an experienced professional with exceptional organisational skills, absolute discretion, and proven experience coordinating complex international travel arrangements.

POSITION INFO:

Minimum Requirements

• Diploma or Degree in Business Administration, Office Management, or a related qualification (preferred).
• 5 years experience as an Executive Assistant or Executive Secretary supporting senior executives.
• Proven experience coordinating international travel and managing complex international travel bookings is essential.
• Demonstrated experience supporting multiple executives simultaneously.
• Advanced Microsoft Office proficiency (Outlook, Word, Excel, and PowerPoint).
• Excellent organisational, planning, and time management skills.
• Strong written and verbal communication skills.
• High level of professionalism, integrity, confidentiality, and attention to detail.
• Ability to work independently, manage competing priorities, and remain calm under pressure.

International Travel Coordination (Essential)

• Coordinate complex local and international travel arrangements for executives.
• Book international and domestic flights, accommodation, ground transportation, visas (where applicable), and travel itineraries.
• Manage travel schedules across multiple time zones.
• Prepare travel documentation and reconcile travel-related expenses.
• Ensure seamless execution of all international business travel

Executive Support

• Provide high-level administrative support to Executive Directors.
• Manage executive diaries, appointments, and meeting schedules.
• Screen calls, correspondence, visitors, and confidential documentation.
• Prepare presentations, reports, agendas, meeting packs, and executive communications.
• Coordinate EXCO and Board meetings, including agendas, minutes, and logistics.
