Executive Personal Assistant to the CEO

We are seeking an experienced and highly organized Executive Personal Assistant to support the CEO of our client's private hospital in the Middle East. The ideal candidate will have a strong background as a Personal Assistant, with experience in a paralegal role, and must be willing to travel as needed.

Responsibilities:

1. Calendar Management: Manage the CEO's calendar, schedule appointments, meetings, and travel arrangements efficiently, considering priorities and deadlines.
2. Communication: Serve as the primary point of contact for the CEO, screening and prioritizing emails, phone calls, and correspondence, and responding on their behalf when appropriate.
3. Document Management: Draft, edit, and proofread correspondence, reports, presentations, and other documents as requested by the CEO, ensuring accuracy and professionalism.
4. Meeting Coordination: Coordinate meetings, conferences, and events, including agenda preparation, venue booking, catering arrangements, and logistics management.
5. Travel Arrangements: Arrange domestic and international travel for the CEO, including flight bookings, hotel accommodations, transportation, and visa processing, while optimizing cost and efficiency.
6. Financial Administration: Assist with expense reporting, budget monitoring, invoice processing, and other financial tasks to support the CEO's administrative needs.
7. Confidentiality: Handle sensitive information with discretion and maintain strict confidentiality regarding all matters related to the CEO's office and the hospital.
8. Special Projects: Support the CEO in special projects, initiatives, and research assignments as needed, demonstrating flexibility and adaptability to changing priorities.

Requirements:

1. Bachelor's degree in Business Administration, Legal Studies, or a related field preferred.
2. Proven experience as an Executive Assistant or Personal Assistant, preferably supporting C-level executives.
3. Background in paralegal work or legal administration highly desirable.
4. Strong organizational skills and attention to detail, with the ability to manage multiple tasks simultaneously and prioritize effectively.
5. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other productivity tools.
6. Ability to work independently with minimal supervision and maintain composure under pressure.
7. Willingness to travel domestically and internationally as required by the CEO's schedule.
