SUMMARY:
We’re looking for a highly organised, professional and proactive individual with experience as an Executive Assistant, Personal Assistant or senior Hotel Administrator. The role provides confidential administrative and operational support to the General Manager, ensuring effective coordination, communication and smooth day-to-day operations.

POSITION INFO:
Minimum Requirements

Diploma or degree in Business Administration, Hospitality Management, Office Administration or a related field
Minimum 2 years' experience as an Executive Assistant to a General Manager, Personal Assistant, Hotel Administrator or in a similar senior administrative role
Previous experience within a 4-star or 5-star hotel environment is highly advantageous
Strong administrative, planning and organisational skills
Excellent time-management and multitasking abilities
Excellent written and verbal communication skills
Professional and friendly disposition
Professional appearance and excellent interpersonal skills
High level of confidentiality, discretion and integrity
Strong attention to detail and problem-solving ability
Proficiency in Microsoft Office, including Word, Excel, PowerPoint and Outlook
Ability to work independently, use initiative and meet deadlines
Ability to communicate effectively with senior management and employees at all levels
Comfortable working collaboratively across multiple hotel departments
Flexibility to work within a busy and fast-paced hospitality environment

Key Responsibilities

Provide comprehensive administrative and operational support to the General Manager
Manage the General Manager's diary, appointments, meetings and schedules
Coordinate internal and external meetings
Prepare correspondence, reports, presentations, meeting minutes and management documents
Monitor deadlines and follow up on action items and tasks delegated by the General Manager
Liaise professionally with department heads, hotel employees, guests, suppliers and external stakeholders
Manage telephone calls, emails, correspondence and enquiries
Prepare and distribute internal communications
Assist with management reports, presentations and operational information
Support hotel projects, events, meetings, inspections and special assignments
Assist with management initiatives as required
Maintain accurate records and an efficient filing and document management system
Facilitate communication between the General Manager and hotel departments
Handle confidential hotel, guest, employee and business information with discretion
Represent the General Manager's office professionally and courteously
Perform other reasonable duties assigned by the General Manager

We are looking for someone who understands that an Executive Assistant to a Hotel General Manager is more than an administrative position.
You will need to anticipate requirements, keep track of priorities, follow up on outstanding actions and ensure the General Manager has the administrative and operational support required to lead a busy hotel effectively.
The ideal candidate will be highly organised, discreet, dependable and proactive, with the confidence to communicate professionally with senior managers, employees, guests and external stakeholders.
