Our group of companies is on the lookout for a well-educated, highly organized, hands-on Executive Assistant. This role will provide secretarial and administrative support to the CEO and senior managers and manage the office environment. The role would suit a dynamic, innovative, skilled, and experienced individual looking for a new challenge. The Executive Assistant must be an organized multitasker able to work in a fast-paced business environment and be able to handle many diverse projects at once and meet tight deadlines. This is a remote, work-from-home position. Candidates must be located in Gauteng and legally eligible to work in South Africa.

JOB DESCRIPTION:

MINIMUM REQUIREMENTS
 
  • Matric (Grade 12)
  • Paralegal qualification and experience preferred
  • Diploma, certificate in Business Administration or related field required
  • 5+ years’ experience in a similar role including drafting of contracts (contract management)

DUTIES AND RESPONSIBILITIES
 
  • Manage, coordinate and maintain the CEO’s diary and travel arrangements ensuring that meetings, deadlines, presentations and other duties are carried out seamlessly and ensuring all necessary requirements are made e.g. meeting venue, equipment, presentations, prepare agendas;
  • Drafting of contracts, memorandums of understanding and memorandums of agreement.
 
  • Accurately Co-ordinate management meetings, compile and circulate agenda’s and meeting packs and follow up on actions points arising from meetings;
 Provide executive and administrative support to CEO and other senior managers.
 
  • Monitor and respond to incoming communications (including complaints) to CEO’s office including phone calls and emails ensuring correct departmental distribution.
 
  • Secretarial support for meetings as and when required by the CEO, including drafting and circulating meeting packs, preparing and distributing minutes and action points, communicating meeting reminders, confirming venues and arranging refreshments.
 
 
Company Secretarial support including but not limited to:
 
  • Preparation of minutes of Board and Committee meetings.
  • Ensure matters arising from meetings is circulated and finalised on time.
  • Maintenance of statutory records and assist with electronic filling from time to time.
  • Maintenance of minute logs and ensure the timely signing of minutes post meetings; Bi-annually complete Governance Assessment Indicator online assessment in order to report on compliance.
  • Drafting and writing high quality reports, presentations, creating spreadsheets, charts and maintain databases as required by the CEO.
  • Liaise with Professional Indemnity Insurance Brokers and assist members with insurance related queries and registration.
  • Assisting the events team with a number of events, ranging from small gatherings to award ceremonies
  • Any administrative tasks on an ad hoc basis.
