Purpose of the Position:

 

  • Administer professional executive assistance by ensuring the required tasks and duties of the Employer is met and completed in a timeous and accurate manner.
  • Management of internal administrative staff, including property managers.

 

Responsibilities and Duties: Not Limited

 

  1. 1.                Admin related tasks and Management of team members:

                             Render full personal assistant duties to Mrs Moti.

                             Assist with any related task requested from time to time.

                             Assist Management with any related task requested from time to time.

                             Running Errands from time to time.

                             Diary Management

                             Maintain soft and hard copy filing of all relevant documents and information.

                             Minute taking of meetings and drafting letters and correspondences.

                             Liaise with Suppliers and Clients.

                             

            Supervising and directing staff in your team with various tasks (2x interior designers, flight attendant / admin assistant, Medical Nurse, 2x grooming ladies).

               Offer assistance to Employer''s family.

               Client and Staff liaison on various tasks.

               Conduct interviews and meetings on behalf of Company as per requirements.

               Work with HR in obtaining suitable stand by candidates for various property / hospitality staff and report and misconduct within your team that you cannot manage.

               Preparing all communication on behalf of Company to staff, clients and suppliers.

               Conducting research on behalf of Company requirements.

               Whats App group communication to guide and direct the staff daily and keep tabs on all work.

               Assist your fellow team members with their tasks (interior designers, flight attendant / admin and or reception) from time to time.

               Liaise with Company on updates on all tasks by ensuring effective communication is managed.

 

2.                Property Management / Project and Interior design Management / Events and Functions Planning

               Supervise new and previous projects.

               Plan all events and functions hosted by the Employer.

               Act as Hostess as and when required.

               Act as stand in reliever for the Property Managers when required.

               Ordering of various products and branding for all properties.

               Ordering of staff uniforms.

               Conduct training for all house managers and housekeeping staff, including setting and styling of all items at the properties where requested.

               Assist with the interior design aspect of new projects when requested.

               Involved in over-seeing that maintenance and landscaping are completed on all properties.

               Assist property managers with various tasks when there are business trips and family trips.

               Involved in organizational systems and tidiness of all areas at the properties.

               Conducting random spot checks on various properties.

 

3.            Financial tasks

            Prepare financial forecasting on properties projects to be conducted.

               Manage all property household cash flow and reconciliation of same.

               Prepare expense registers on all goods and products purchased for projects, properties, events, and interior design.

 

                 4.             Weekly Property Management meetings

               Plan and lead weekly Property and Admin meetings with the team every Monday morning at 09h00.

               Plan and lead follow up end of week meetings every Friday at 09h00.

               Draft all minutes of meetings and have all team members sign off on same.

               Should you be away on business travels, meetings can be held virtually with the rest   of ff the team. Plan accordingly in these instances.

              

4.            Prepare weekly management report that includes all updates on the properties, projects, admin, and interior designs tasks for Company.

 

 

5.            Traveling planning

            Be prepared to travel with the Family during holiday periods and business trips.

               Prepare property travel schedule in advance for holidays and or business trips with Company.

               Plan itinerary travel planning for the Family’s holiday breaks and business trips.

               Liaise with Head of Security and relevant House Managers on staff that will be required to attend the trips.

               Organize and plan all flight ticket bookings and accommodation for all Family and business trips.

               Coordinate all travel arrangements and inform the relevant staff members of the travel itinerary schedule.

 

The above duties will be performed by the Employee for the Group, and, as directed by the Employer for all relevant companies within the Group and may be amended and updated by Management of the Group from time to time.

 

 

Work experience and Skills:

  • Proven experience with contactable references
  • 5 or more years related experience
  • Good time management skills and capability in working with deadlines.
  • Comfortable with numbers, financial information, and analysing data.
  • Proactive attitude in forecasting plausible issues and implementing protective measures.
  • Possess a high diplomatic and professional attitude towards managing interpersonal relationships with people at all levels
