SUMMARY:
Estate Manager (HOA) - George

Our client based in George is on a recruitment drive for a hands-on, knowledgeable Estate Manager to join their team. The ideal candidate must be able to work independently, be self-motivated and driven with strong customer service skills

Duties include but not limited to:

• Ensure the safety and welfare of the members and the estate
• Ensure that the estate and facilities are operated in a safe and efficient manner
• Ensure that the buildings, roads and gardens of the estate are maintained to the highest possible standards
• Projects are effectively delivered and that all systems and technology are managed.
• Confer and liaise freely with HOA officers, portfolio managers, duly appointed service provides board of directors and duly appointed committees, in connection with the performance of his duties and when required from time to time
• Administer monies received and hand over same for banking purposes as advised by the financial administrator
• All major purchases of equipment, tools, supplies, and materials unless directed by the Board of Directors or other persons in a position of authority (HOA)- Purchases must be made in the name of the property.
• Financial Records are maintained in good standing, accurate to be able to identify the source of all funds and / or moneys, collected and / or administered by the Estate Manager including the disbursement, and maintain orderly files containing records of common charges and payment thereof, Including: assessment payment records of individual owners insurance policies, correspondence, an up to date registry of owners and occupiers, receipted bills and voucher's and all documents, contracts, and papers pertaining to the operation of the estate, and the same shall be and shall remain the property of the Estate. The Estate Manager shall upon request of the Board of Directors, company officers, accountants, attorneys or representatives, upon reasonable notice and during normal office hours.
• Implement and maintain a system to receive and address requests or questions from the members and, when necessary, shall obtain approval to act on complaint, request, or question from one designated member of the Board of Directors
• Maintain a 24-hour answering service for emergencies after normal office hours and / or the provision of emergency numbers.
• Assist the board of directors in enforcing compliance with any published rules, policies and regulations
• At the direction and discretion of the board of directors - cooperate with the company in regard to any audit and annual report to erf or unit managers.
• Attend directors meetings and the annual general meeting. At such meetings, the consultant shall be prepared to answer questions regarding area's of responsibilities and duties.
• the consultant shall assess owners and members compliance with the HOA constitution rules and regulations and generally ensure compliance therewith
• Confer and liaise with security, landscape and maintenance service providers of the HOA to ensure service touch points are effectively identified and managed
• Implement and maintain movement procedures in the estate
• Confer and liaise with approved Real estate agents for the administration and arrangement of show days on the estate
• Confer and liaise with the resident's forum in order tp publish Estate newsletter
• Not engage any services with any party that may result in a conflict of interest between the parties without the consent of the HOA. The HOA decision regarding any conflicting services will be regarded as final and binding
• Manage and take full responsibility of all company staff
• Manage the BACC administration of building activities'
• Manage and maintain accurate records and backup of all of the company's data
• Perform the duties of the POPI compliance officer for the company
• the consultant shall assist an appointed designee of the HOA with issues involving legal matters related to actions executed by the consultant, in service to the HOA
• The Estate Manager will manage and maintain the company's records and systems
• Other duties as decided by the company from time to time

POSITION INFO:
Qualifications:

• Matric or Technical Matric
• Previous experience in a similar role would be hugely advantageous alternatively 
• Experience as a site / building manager - 5 years
• Computer Literate - MS Office Suite
• Strong financial acumen
• Valid drivers license and own reliable transport
• Fluent in English and Afrikaans
