EVP Sales Administrator

SUMMARY:
A leading tech device supplier is seeking a Sales Administrator to support the EVP function through customer coordination, sales administration, and operational support.

The role includes managing onsite client activations, processing quotes and orders, assisting with procurement, and ensuring smooth sales execution. The successful candidate will maintain strong relationships with clients, suppliers, and internal teams while delivering excellent service.

POSITION INFO:
Duties and Responsibilities: 
Customer Relationship Management:

• Maintain and update the EVP customer database according to the Customer Allocation List.
• Build and maintain strong, professional relationships with allocated employer groups and end-users.
• Respond to and resolve customer queries timeously; escalate complex issues appropriately.
• Conduct periodic service audits and customer satisfaction surveys.
• Maintain consistent communication via telephone, email, and virtual sessions (weekly/monthly).
• Log all interactions, updates, and actions within the CRM system accurately.

• Facilitate and support onsite activations at new and existing employer locations.
• Assist customers with the onsite activation process, including product selection, contract activation, and service setup.
• Ensure correct documentation is prepared for onsite engagements (forms, device lists, SIM cards, etc.).
• Provide onsite support for Vodacom/Telkom activations, upgrades, queries, and basic device configuration.
• Maintain oversight of connectivity support and escalate technical matters promptly.
• Provide administrative support to ensure all onsite engagements run efficiently.

• Prepare accurate quotations for devices, contracts, accessories, and services.
• Meet quotation turnaround standards:
  • Internal stock: within 30 minutes
  • External stock: within 3 hours
• Ensure all pricing, product details, and customer information are correct before submission.
• Process customer orders accurately and ensure timely handover to internal departments.
• Maintain quotation logs, order trackers, and CRM records without discrepancies.
• Communicate order progress, ETAs, delivery confirmations, and changes to customers.

• Act as a point of contact for customers regarding product availability and delivery timelines.
• Confirm stock availability, pricing, and supplier lead times.
• Source products on behalf of internal teams when required.
• Maintain awareness of new products, updated features, and service bundles.
• Ensure accurate and timely communication with procurement and suppliers regarding orders.

• Deliver professional and customer-focused communication throughout the sales cycle.
• Maintain strong customer satisfaction ratings based on surveys and feedback.
• Support renewal processes and actively assist in achieving the required renewal rate.
• Ensure customers receive timely updates and transparent communication.
• Track renewal stages and initiate reminders or follow-ups as required.

• Facilitate efficient onsite activations to support monthly performance targets.
• Contribute toward achieving:
  • Minimum of 150 onsite deals per month (team or individual depending on structure).
  • Minimum 70% renewal rate, through appropriate administrative follow-through.
• Ensure high levels of accuracy to reduce rework or order amendments.

• Work collaboratively with Sales, EVP, Operations, Finance, Procurement, Logistics, and Customer Support to support fulfilment.
• Communicate customer and employer requirements clearly and professionally.
• Participate in internal meetings and provide accurate progress updates.
• Assist with resolving operational barriers impacting customer service or delivery.
• Maintain strong internal relationships to support workflow efficiency.

• Tailor messages in relation to the audience at hand and to present even the most complex messages in clear, simple, digestible, and convincing terms.
• Acknowledge all written communication within one hour of receipt and ensure thorough response within 24 hours thereof.
• Provide feedback and timely reporting on all activities to the relevant stakeholders within the business.

• Perform other duties as deemed necessary for the execution of duties as assigned by Senior Management and Directors.
• Identify and advise management of any other revenue generating opportunities spotted.

• Matric
• At least 1-3 years in internal sales, customer service, telecoms support, or similar administrative roles
• Certificate/Diploma in Sales, Business Administration, ICT, or related (advantageous)
• Experience in telecom environments (Vodacom/Telkom activations) (advantageous)
• Experience with onsite activations or enterprise customer environments (advantageous)
• Valid Driver’s License
• Strong computer literacy (Excel, Word, Outlook, CRM systems)
• Ability to read and understand product specifications
• Knowledge of SaaS platforms or subscription-based software is advantageous
