Duty Manager- Cargo Administration

SUMMARY:
A Global Leader in the Ground handling/ Cargo Operations industry requires a Duty Manager with exceptional Aviation / Ground Handling experience - This postion will be based at OR Tambo International Cargo Terminals Due to the nature of the position we will only consider suitable applicants with solid Ground Handling Operations experience

POSITION INFO:

Key to this position will be to effectively provide support to the Operations Manager by leading and controlling all administrative duties in the Import Department.

KPI''s will include but will not be limited to the following

• Ensuring compliance, adherence and supervision to policies, procedures and operating procedures (manuals)
• Ensure procedure is followed where cargo is blocked and released (by management) according to company procedures
• Responsible and accountable for telephone and email etiquette and timeous receiving and responding to emails and providing adequate service delivery to clients and airlines
• Conduct regular system quality checks on relevant airline systems and reports
• Coordinate and support Finance Department with all functions of financial activities relating to the imports department
• Responsible to prepare credit/debit notes for accounts, updating of airline tonnages and all functions relating to the cash office
• Assist with staff rostering and reporting, leave and absence management with Operations Manager/Duty Manager
• Responsible for directing and supporting all operations functions of the department and the team
• Support to Cargo Agent/Team Leaders Office to improve their knowledge of cargo and computer systems, customer service and cargo procedure
• The ability to assist, oversee, manage Cargo Agent/Team Leader Office functions in addition to above but not limited to:
• Full responsibility for delivering effective cargo services solutions to our customers
• Communicate with clients, co-workers, and Senior Team Leader / Team Leaders in a clear, concise, and a timely manner
• Advise the department team leader/senior of any transaction problems or irregularities
• Work closely with Human Resources to enforce compliance of personnel with administrative policies, procedures
• Ensure that the required company audits requirements are undertaken to ensure continuity quality and compliance at all times
• Directing Senior Team Leader/Team Leader personnel within assigned functional area; overseeing and advising on staffing requirements; monitor, discipline/corrective action by or for subordinates
• Conduct and attend department meetings, briefings for daily and/or weekly performance as well as attending required airline meetings
• Take ownership for creating a progressive open and feedback culture by managing the performance and development of employees
• Lead, motivate and manage staff to deliver the Service Level Agreements (SLA) with customers
• Review key performance indicators (KPI''s) and take necessary actions to meet needs
• In cooperation with the Accounts department offer full support to finance related activities for: Preparation of month-end documentation; Approving credit/debit notes for accounts; Updating of airline tonnages; and cash office reporting sheet
• Ensure compliance with Customs/SARS procedures and standards in accordance with WFS customs compliance manager and government regulations
• Maintain a record keeping system for all our operations (import and export filling)
• Ensure proper staffing is scheduled for Import operations in respect of rostering and effective managing of time and attendance
• Reviews operational reports and resolves problems to ensure minimum costs and prevent flight or delivery delays
• Involvement in conducting performance evaluations, issue disciplinary actions and work with Operations Manager on final decisions in these areas

The Ideal Candidate will be a diligent self starter with previous people management experience.  High Attention to detail with a client centric attitude and deadline and target driven.

We are looking for a Hands-on person with exceptional people and organisational skills.

Minimum requirement for this position includes

• Grade 12 certificate and Degree/Diploma in related field
  And/or Tertiary qualification in related field
• CLEAR CRIMINAL RECORD
• Advanced proficiency in Microsoft Word, Excel, PowerPoint and Outlook
• Previous experience on CargoSpot will secure
• At least 3 years working experience in a similar environment at a managerial level and being able to demonstrate managerial ability
• A proven track record of managing administrative environment/functions

Sound knowledge and understanding of:
a) Manual handling and safe practice
b) Export / Import documentation
c) Aviation security legislation
d) Health and Safety legislation
e) Dangerous Goods, Live Animal and Perishable Cargo acceptance and handling
f) Cargo handling processes and principles
g) General cargo legislation awareness
h) Air cargo rules, restrictions and legislation
i) General Customs and exercise awareness
