Debtors Administrator

POSITION INFO:
A well-established property management group is looking for a Debtors Administrator to join its team. The successful candidate will take responsibility for the day-to-day administration of a residential and/or commercial property portfolio, with a strong focus on tenant accounts, rental collections, lease administration, utilities and debtor management.
 
This is an ideal opportunity for someone who enjoys working with people, numbers and systems, and who can confidently manage multiple stakeholders while ensuring that the property portfolio's debtor administration is accurate and up to date.

Key Responsibilities:

• Manage the day-to-day administration of the allocated property portfolio.
• Monitor rental payments and manage tenant debtor accounts.
• Capture recoverable charges, including utilities, maintenance and other lease-related recoveries.
• Monitor debtor balances and actively contribute to reducing outstanding debt and DSO.
• Reconcile and resolve complex or escalated debtor accounts.
• Capture and maintain accurate property, tenant and lease information on MDA.
• Capture lease details and verify information against signed lease agreements.
• Ensure all required FICA documentation is obtained, verified and correctly filed.
• Manage tenant files in accordance with POPIA requirements.
• Process tenant vacates on MDA at the end of lease periods.
• Update vacancy information and maintain accurate arrears notes and comments on MDA.
• Secure debit order authorisations from tenants.
• Liaise professionally with tenants, property owners, service providers, contractors and internal stakeholders.
• Support Property Managers with debtor-related queries and administration.
• Prepare monthly owner statements and arrears reports.
• Assist with month-end processing and bank reconciliations.
• Ensure all recoveries are correctly loaded in accordance with lease agreements.
• Assist with municipal rates recovery adjustments and ensure annual increases are accurately captured.
• Maintain accurate filing and archiving of tenant and property documentation.
• Assist with general office and property administration where required.
