Salary R15K - R20K

1 Year Fixed Term Contract Possible Renewable

Hours of work. Monday to Friday 8.30 - 17.30

To effectively manage the Reception area and Office in a professional timeous manner.

Responsibilities and Duties: Not Limited

RECEPTION:
• Welcome Guests upon arrival;
• Greet and welcome guests over the intercom;
• Record messages and ensure that they have been passed on;
• Accept and sign for legal documents, packages etc. and distribute to relevant persons;
• Order and receive flowers and look after flower arrangements;
• Order and receive candles and distribute;
• Book Boardrooms for meetings;
• Report any office issues to Maintenance Manager;
• Switchboard
• Notify employee when guests/clients arrive;

LEGAL:
• Capture, Scan, and File Original Agreements
• Process Attorneys Accounts payments
• Process Claims
• Special Grants
• Process Payment Requisitions
• General Filing
• Assist with Bond Transfers
• Basic Administration tasks
• Process changes on Discovery Medical aid

OFFICE:
• Management of office groceries;
• Ordering and maintaining office / property stationery requests;
• Office expenditure recon
• Travel Management – booking of flights (using outsourced Agency), transport hire, shuttle hire, Visas, Travel insurance and accommodation;
• Management of the office general staff (6 cleaners, 3 gardeners, 2 butlers, 1x driver).

GENERAL MANAGEMENT:
• Book Binding for Management
• Order and ensure Dispenser Water is available at all designated areas
• Management control office Groceries
• Place Lunch Orders for Management
• Make Files and Tab labels
• Laminate books and documents
• Oversee DHL Post and Registered Post
• Store Site Plans for Maintenance manager
• Stock Control of Vlok Rd Property Water
• Maintain Driver''s Logbook
• Submit Daily office attendance registers

Academic & Trade Qualifications:
• High school graduate
• Office Management Certification (optional)
• Reception / Administration Certification (optional)

Work experience and Skills:
• Proven experience with contactable references
• 2 or more years related experience
