Commercial Legal Secretary based in Pretoria

POSITION INFO:

Introduction

Our client is looking for a Legal Secretary for the Commercial Department in Pretoria.  

Duties & Responsibilities

  • General secretarial work as is appropriate in an attorneys’ offices
  • Type general & legal correspondence
  • Prepare legal documents
  • Receiving instructions from clients and correspondents
  • Opening of matters on GhostPractice
  • Liaising with clients from receipt of instruction to successful conclusion of the matter
  • Answering telephone calls, taking telephone messages and making notes on the file
  • Dealing with enquiries from clients via email, fax, letter and telephone
  • Using a diary management system and making appointments with clients
  • Keeping records of costs
  • Capturing of fees onto GhostPractice
  • General administrative work. (Filing, scanning, faxing, copying etc.)
  • Arrange for delivery of legal correspondence and documents
  • Assist attorneys in collecting information on and for clients using Windeed, Searchworks, Datasearch etc.
  • Draft and type office memos
  • Printing of ledger reports on files reflecting fees/disbursements/payments etc.
  • Preparing documents for signature by clients
  • Final reconciliation of statements on matters
  • Performs related work as assigned
  • Digital Dictaphone typing
  • Booking of accommodation for clients
  • Appointing medico-legal experts, drafting of briefs for experts
  • Arranging pre-trial conferences
  • Scheduling, coordinating and confirming court dates, appointments, and meetings
  • Following up with Sheriffs
  • Liaising with hospitals, metro police and police stations
  • Preparing documents for lodgement at the Road Accident fund
  • Preparing court documents, process and letters for correspondence
  • Paying of vendor invoices
  • Typing of High Court as well as Magistrate’s Court Pleadings and Notices
  • Indexing and paginating of Pleadings, Notices and other Court documents for purposes of trial
  • Appointing Advocates, drafting of briefs for advocates
  • Processing of expert reports
  • Liaising with advocates
  • Debt collection
  • Arranging for services of high court and magistrate court documents
  • Assisting with preparing of high court and magistrate court litigation papers as well as paginating and indexing of such papers
  • Arranging for warrants of execution
  • Capture data electronically
  • Property searches on WinDeed
  • Typing of Foreclosure High Court Summonses
  • Typing of Foreclosure High Court Judgments and Attachments (Warrants)
  • Preparing and Typing of Sale Document
  • Attending to Sale in Execution matters

Desired Experience & Qualification

  • Matric
  • Efficient in Ms Word and Ms Excel           
  • Ghost Practice
