SUMMARY:
Well established company situated in Jet Park are urgently seeking an experienced Contracts Administrator.

POSITION INFO:

The Contracts Administrator is responsible for the contract administration functions for the Jet Park Branch which includes invoicing, timesheets, debtors, stock movements, quotes, etc.

Commercial and Administrative Duties:

Open jobs and maintain job files

• Capturing of deliveries & returns  

• Ensure all deliveries and returns are scanned by the Stock Controller and reconcile

• Reconcile shortages/damages as soon as possible

• Prepare claim sheets based on timesheets and stock movements

• Ensure claim sheets are signed off by the Contracts Manager and Customer before

invoicing is done

• Ensure invoicing is done accurately and on time

• Ensure that debtors are collected within the budgeted debtor days

• Ensure customer contacts are up to date and captured in full

• Prepare files for handover for legal collections

• Prepare & process credit notes

• Ensure that statements are sent out on the Monday following month end

• Ensure that annual price increases are submitted to the customer on time and escalation

claimed

• Unbilled revenue to be kept up to date and invoiced timeously

• Pro-actively monitor costs on jobs

• Analyse WIP and ensure that job costing is accurate

• Ensure all money due on a contract is claimed in full and on time

• Develop a sound understanding NEC and JBCC of standard forms of contract

• Ensure that the Terms and Conditions of Hire and Sale are applied

• Ensure that customer damages are passed on to the customer

• Other related administrative tasks

Sales duties:

Establish and maintain excellent customer relationships

• Handle incoming sales calls and re-direct when necessary

• Prepare and submit quotes

• Follow up on all enquiries received and quotes submitted

• Understand and be able to explain our Terms and Conditions of Hire and Sale to customers.

• Ensure PO’s are received from customers

• Prepare weekly and monthly quote reports

• Updating customer telephone and email lists

• Ensure that authority limits for quotes are adhered to

 Health & Safety

• Submit a weekly overtime report

• Report all safety deviations in area of work, identify and report potential hazards in area of work

• Ensure that all incidents are reported to your line manager as soon as it occurs but no later

than the end of the shift

• Ensure that any unsafe condition is immediately reported to your manager


Qualifications and Experience Required:

  • National Dip or BTech Civil Eng / Building Science / Quantity Surveying
  • 2 Years experience in a similar role
