Buyer and Administrator (Print Industry)

SUMMARY:
We are seeking a skilled Buyer/Administrator to join our procurement team. The ideal candidate will be responsible for managing the procurement process, issuing purchase orders, maintaining supplier relationships, handling invoicing, managing credit accounts, obtaining quotes, and efficiently placing orders. This role requires exceptional organizational skills, attention to detail, and the ability to communicate effectively with suppliers and internal stakeholders.

Minimun Requirements:

• Proven experience in procurement, buying, purchasing, and administration role.
• Experience with Account administration. 
• Proficiency in procurement software, Microsoft Excel, and Quick Easy Preffered.
• Attention to detail and accuracy in data entry and record-keeping.

1. Procurement Management:
   
   • Coordinate procurement activities to ensure timely sourcing and delivery of goods and services.
   • Assess procurement needs and develop procurement strategies to optimize costs and quality.
   • Evaluate supplier performance and maintain a database of approved suppliers.
2. Purchase Order Issuance:
   
   • Generate and issue purchase orders accurately and in a timely manner.
   • Review purchase requisitions to ensure compliance with company policies and budgetary constraints.
   • Verify pricing, terms, and delivery schedules with suppliers.
3. Supplier Communication:
   
   • Establish and maintain strong relationships with suppliers.
   • Communicate with suppliers regarding order status, product availability, and any issues that arise.
   • Negotiate pricing, terms, and contracts with suppliers to achieve favorable agreements.
4. Invoicing and Credit Account Management:
   
   • Manage the invoicing process, including verification of invoices against purchase orders and delivery receipts.
   • Ensure timely payment of invoices and resolve any discrepancies with suppliers.
   • Monitor credit accounts and facilitate credit applications as necessary.
5. Quote Management:
   
   • Obtain quotes from suppliers for requested goods and services.
   • Analyze quotes to determine the best value proposition in terms of quality, price, and delivery.
   • Collaborate with stakeholders to review and select the most suitable quotes.
6. Order Placement:
   
   • Place orders with suppliers based on approved purchase requisitions and quotes.
   • Track order progress and follow up with suppliers to ensure timely delivery.
   • Coordinate with receiving departments to confirm receipt of goods and services.
