As Business Support Assistant, you will play an important role in keeping the division organised, responsive and running effectively. You will manage competing priorities, coordinate meetings and business activities, prepare professional documentation, support financial administration and ensure that actions and deadlines remain on track.

This role requires more than reactive administration. You will be expected to anticipate requirements, take ownership of responsibilities and resolve administrative challenges proactively, while maintaining professionalism and discretion when working with senior stakeholders and confidential information.

What You'll Do

• Provide comprehensive administrative and business support to the Pharmaceuticals Division.

• Manage diaries, appointments, meetings and scheduling requirements.

• Coordinate meetings, including agendas, documentation and follow-up actions.

• Prepare professional correspondence, presentations, reports and other business documentation.

• Coordinate travel arrangements and associated administration when required.

• Assist with expense claims, invoices, purchase orders and general financial administration.

• Maintain accurate records, filing systems and confidential documentation.

• Coordinate communication across internal stakeholders, external parties and service providers.

• Support departmental projects, events and other business activities.

• Track deadlines, actions and outstanding deliverables to support timely completion.

• Anticipate administrative requirements and proactively address issues.

• Handle sensitive and confidential information with appropriate discretion.

• Provide ad hoc administrative and operational support to ensure the smooth functioning of the division.

What You Bring

• Proven experience in an Executive Assistant, Personal Assistant, Business Support, Team Assistant or senior administrative support role.

• Strong organisational and time-management capability.

• Excellent attention to detail and a high standard of administrative delivery.

• Demonstrated ability to manage multiple priorities in a fast-paced environment.

• A proactive, practical and solutions-oriented approach.

• Strong written and verbal communication skills.

• Professionalism and confidence when engaging with senior stakeholders.

• Strong interpersonal and relationship-management skills.

• The ability to work independently, exercise sound judgement and take ownership of responsibilities.

• Discretion and maturity when handling sensitive or confidential information.

• Strong Microsoft Office skills, particularly Outlook, Word, Excel and PowerPoint.

• A relevant tertiary or administrative/business support qualification would be advantageous.

• Experience supporting senior stakeholders or a busy corporate division would be highly advantageous.

• Previous exposure to pharmaceuticals, healthcare or a large multinational corporate environment would be advantageous.
