SUMMARY:
Our client a multinational within the financial sector is looking for an Assistant Administrator to join their Human Resources Team

POSITION INFO:

Job Specification;

Assisting with the full Onboarding process of new starters for the relevant jurisdiction from acceptance of the offer to the completion of probation

Ensuring data is recorded accurately and consistently in the HR system at all times

Responsible for first-day Induction of new joiners by ensuring their first-day experience expectations are met

Taking them through the relevant HR systems and basic navigation thereof

Responsible for arranging the monthly Induction for new joiners by engaging with internal and external stakeholders on their presentations and fulfilling what is required for a successful Induction

Responsible for the preparation of offer letters and contracts for new joiners and ensuring that all information is accurate and relevant to the level they are being appointed at

Responsible for sending out the first-day payroll, benefits, and legislation documentation to new joiners and ensuring that it is received back accurately completed and by the payroll deadline

Responsible for the Leavers administration process – includes but is not limited to leave calculations, maternity and study loan calculations, updating the HR system

Responsible for arranging exit interviews and ensuring that the information received is reported to the management team in a standard format

Responsible for capturing sick leave and other leave accurately on the HR system and understanding the leave cycle and leave allocations

Support Group resourcing with arranging interviews for candidates and assisting in the maintenance of the Applicant Tracking process

Responsible for the provision of data and statistical reports required by the Business, responding in accordance with agreed service levels to requests for HR data from other business areas

Support the resolution of general employee queries by both telephone and email

Responsible for the management of the HR Email Inbox, meeting agreed SLA’s

Provide a timely service for inquiries both internal and external

Utilise and/or obtain HR knowledge to answer queries or escalate to other members of the team

Scan and file HR documents in an efficient, accurate, and timely manner in line with team processes

Support the L&D team with the administration as required including arranging lunch and learn sessions, printing slide decks for delegates, managing the training room diary, maintaining the attendee''s log, and arranging refreshment provisions with facilities

Respond to employment reference requests in a timely manner in accordance with best practice and regulatory requirements

Responsible for ad-hoc requests from employees for confirmation of employment letters, visa letters

Ensure that information provided is accurate and in line with standard requirements

Responsible for the completion of UIF forms for maternity and paternity leave, etc. and ensure that this is done accurately and in line with standard requirements

Create and maintain the organisational charts for the business, providing ad hoc charts to various internal stakeholders when requested

Providing administrative support with ad hoc projects as required, including acquisitions, which will extend to data collation, documentation production, assisting with the on-boarding of new employees, and any other assistance required

Develop knowledge of different jurisdictional processes and regulatory requirements and apply this knowledge to administrative activities

Actively contribute and be a key member of a multi-jurisdictional HR team building effective working relationships to ensure procedures are accurately followed, allowing for continuity of service during busy periods or times of absence

Maintain accuracy when handling data and ensure that the integrity of processes is maintained

Maintain the highest standard of confidentiality and security in terms of employee data and business information and consider the impact of GDPR on all activities undertaken

Uphold the professional standards expected of an HR practitioner and act as a role model of excellence with all clients, internally and externally

Developing self and maintaining knowledge in the relevant field at all times

Ensure that knowledge of the Employee Handbook and policies are up to date at all times in order to best support the HR team and the business

Adhere to Risk & Compliance procedures in relation to regulatory requirements and AML legislation

Adhere to values and expected behaviours

Any other duties as deemed necessary by Management

 

Minimum Requirements;

University degree with relevant Human Resources majors

Minimum of 18 months experience in a Human Resources Generalist role with exposure to HR administration pertaining to the full employee life cycle

Financial services background

Knowledge and understanding and practical implementation of the Basic Conditions of Employment Act, Labour Relations Act, Employment Equity Act, Skills Development Act and other relevant legislation

Excellent communication skills (written and verbal)

MS Office – strong focus on Excel for calculations so above average skills required

Proactive approach

Good organisational and presentation skills

Attention to detail and high accuracy

A team player but also able to work independently

Keen eagerness to learn and develop
