SUMMARY:
An Administrator vacancy is available at our Client, Wits Health Consortium in Parktown, Johannesburg - Gauteng.

POSITION INFO:

Background

Wits Health Consortium (Pty) Limited ("WHC") is a wholly-owned Company of the University of the Witwatersrand, Johannesburg (South Africa) under its Faculty of Health Sciences. WHC provides Faculty with a legal framework within which to operate the research and other activities necessary to support its academic objectives. In addition, WHC offers a range of products and services to the Academics conducting these activities in order to assist with the management thereof.

Main purpose of the job

  • To monitor all contracts, agreements, grants, etc. and facilitate the efficient process of reviews, signatures and document control of all contracts within WHC

Location

  • Parktown

Key performance areas

  • Ensure effective tracking of documentation
  • Check the information on the contracts and ensure that all legal requirements are met
  • Record, capture and process documentation submitted
  • Ensure that data is captured correctly
  • Maintain and update information on the database
  • Ensure that all relevant documents are attached to the contract or agreement
  • Maintain an accurate filing system that is easily accessible
  • Ensure that all documents are approved and signed by all parties
  • Draft contracts submitted to ethics - follow up with Sponsors and raise queries before they submit a final copy of the signature
  • Liaise with all relevant stakeholders with regard to contracts and outstanding documentation
  • Provide internal and external customers with ongoing feedback
  • Be responsible for all filing in the contracts office
  • Provide copies of all new contracts processed to Finance staff
  • Adhoc tasks as requested by the line manager.

Required minimum education and training

  • Grade 12

Required minimum work experience

  • Minimum of 3 years administrative experience

Desirable additional education, work experience and personal abilities

  • Experience working in a clinical research environment
  • Knowledge and proficiency in Microsoft Office especially Access
  • Good administrative skills, filing, archiving and general office practice principles
  • Experience in data capturing and use of comprehensive databases involving database management
  • Effective tracking and document management of confidential documents
  • A dynamic and compatible personality able to deal with customers at all levels
  • Ability to work well under pressure
  • Excellent communication skills (both written and oral)
