Minimum requirements:
- Matric
- Fluent in Afrikaans and English
- 5 years administration experience
- Valid driver's license and own vehicle (advantageous)
- Reliable transport
- Computer literate
- Proficiency on VeriClaim, Mac (Apple laptop) and IOS
Duties and responsibilities:
- Typing and Preparing Reports: Accurately transcribe medical and procedural reports, patient summaries, and correspondence using dictated or written notes
- Opening and Managing Patient Files: Create, update, and maintain physical and electronic patient records in line with confidentiality standards and medical protocols
- Billing and Invoicing: Generate, submit, and track medical claims and invoices; liaise with medical aids, patients, and accounts departments for prompt payment
- Appointment Scheduling: Coordinate patient appointments, follow-ups, and procedures efficiently using the practice’s scheduling software.
- Reception and Front Office Support: Greet patients, answer calls, and provide basic information while ensuring a welcoming and professional front office environment
- Medical Aid Liaison: Verify benefits and authorizations with medical aids, follow up on unpaid claims, and ensure all required documentation is submitted correctly
- Record Keeping and Filing: Ensure all patient documentation, test results, and referrals are accurately filed and easy to retrieve when needed
- Office Supply and Inventory Management: Monitor and order necessary office and medical supplies to ensure smooth daily operations
- Data Entry and Database Management: Maintain accurate data in practice management systems, ensuring compliance with privacy and healthcare regulations
- Support to Clinical Team: Assist doctors and nurses with administrative tasks, such as preparing documents, referrals, and follow-up correspondence
