SUMMARY:
Our client, a large manufacturing concern, currently seeks a suitably qualified individual with the right attitude and one who is willing to learn. Reporting to the Group Procurement Operations Manager, you will be the first point of contact and provide administrative support to the team.

JOB DESCRIPTION:

Minimum Requirements:
  • Matric.
  • Certificate or Diploma in Office Management or similar.
  • 2 years experience in reception and providing administrative support.
  • Strong client service orientation and ''can do'' attitude.
Skills and Competencies:
  • Excellent communication and interpersonal skills.
  • Proven ability to work efficiently and accurately.
  • Deliver high quality work.
  • Time management skills.
  • Must be able to multitask.
  • Team player.
  • Strong planning and organising skills.
  • Proven ability to build strong relationships.
  • A self-starter.
  • Sound computer skills witch Microsoft packages experience.
Key Performance Areas:
  • Operate the switchboard by answering, screening or forwarding incoming phone calls as well as taking messages.
  • Welcome and screen visitors to the site and direct them appropriately.
  • Accurately maintain the visitors register.
  • Facilitate meetings and arrange meeting venues and catering as required.
  • Receive, sort and distribute daily mail/deliveries.
  • Proactively source and order stationery and office consumables and maintain an accurate stock register.
  • Ensure office equipment and appliances are functional and schedule regular maintenance services.
  • Create purchase requisitions for office requirements on ERP system, follow up on orders placed.
  • Submit invoices promptly to creditors for payment.
  • Create commercial invoices for export logistics
  • Expedite and follow up with suppliers on queries, inconsistencies or late deliveries.
  • Follow up on queries on inventory report.
  • Arrange and follow up on all local collection from suppliers to the warehouse.
  • Submit and keep record of all transport invoices to accounts for payments.
  • Assist the Group Procurement Operations Manager and management with general administrative duties as required.
