SUMMARY:
Our client is seeking a highly organized and detail-oriented Admin & Warranty Claims Clerk to join their JHB branch.

This role is ideal for an experienced administrator who thrives in a fast-paced environment, enjoys working with systems and processes, and has excellent customer service and communication skills.

The successful candidate will be responsible for managing warranty claims, processing sales documentation, maintaining accurate records, and providing administrative support to the technical department.

POSITION INFO:

Minimum Requirements

Matric (relevant tertiary qualification advantageous)
Minimum 5 years' administrative experience
Strong customer service and communication skills
Proficient in Microsoft Office
Experience working on ERP or administrative systems
Excellent administrative and organizational skills
Strong attention to detail and problem-solving ability
Ability to prioritize workload and meet deadlines
Excellent verbal and written communication skills
Ability to multitask in a busy environment
Reliable, hardworking and self-motivated
Able to work independently with minimal supervision

Key Responsibilities

Manage all administration relating to warranty claims and credits
Process sales orders, quotations, invoices and credit notes
Maintain accurate warranty records and tracking systems
Capture, scan and file warranty documentation and supporting records
Maintain and update warranty and claims spreadsheets
Liaise with customers and internal sales teams regarding warranty queries
Submit credit requests for approval
Process purchase orders and goods received notes (GRNs) for the technical department
Request and manage proof of delivery (POD) documentation
Coordinate inter-branch stock transfers for technical assessments
Assist with monthly technical stock counts and inventory control
Process supplier and casual payment requests
Prepare weekly and monthly scrap administration reports
Receive and verify returned goods
Manage timesheets for the technical and dispatch departments
Order stationery and refreshments for the department
Provide general administrative support to ensure the efficient operation of the technical department
