SUMMARY:
To provide clerical and administrative support to an office, ensuring the smooth and efficient operation.
POSITION INFO:
KEY PERFORMANCE AREAS:
- Ensure general office administrative activities and functions are adhered to at all times.
- Maintain records, documentation and files, particularly more complex or sensitive such as employee files.
- Maintain office supplies inventory.
- Ensure month end data is captured and distributed to relevant departments.
- Collect and compile data on electricity and water consumption and submit to finance to bill trainers.
- Check timesheets weekly and capture staff overtime worked and submit to Payroll on a monthly basis.
- Printing of staff payslips and placing in envelopes.
- Balancing and ordering of Petrol and Diesel on a weekly basis.
- Assist staff with general queries e.g. benefits statements, leave etc.
- Complete and capture staff leave.
- Ordering and purchasing of staff PPE, refreshments, stationery etc.
- Relieve Switchboard Operator when required.
- Perform any other reasonable tasks as determined by management.
- Perform duties with integrity and professionalism.
- Create a sense of urgency and live up to 4Racings professional standards.
- Assist with race day switchboard and administrative duties when required.
- Showing integrity in dealing with others
JOB REQUIREMENTS:
- Matric
- Certificate or diploma in office administration (NQF Level 5)
- 2-3 years’ experience in a similar position
- Basic knowledge and understanding of Horse Racing industry standards - an advantage
- Proficiency in MS Office Suite (e.g., Excel, Word etc.).
- Basic organizational and project management abilities.

Key Relationships Internally: Track Managers, Racing Operations Management & Staff, HR, Procurement, Finance.
Key Relationships Externally: Service Providers, Trainers.

- Ability to listen and empathise with customers.
- Effective communication (both verbal and written)
- Problem-Solving Skills are required as Branch Managers need to be adept at identifying and resolving issues.
