SUMMARY:
Workshop Administrator_Heavy Commercial Vehicles (Empageni) to take responsibility for providing an efficient administrative support to the workshop team to ensure that workshop information and/or records are captured accurately and are timeously available

POSITION INFO:

Duties:

  • Ensure efficient and accurate processing of job cards as per the company required standard
  • Opening of Job cards at the start of each job and ensure all details are correct
  • Print and analyse the Work in Progress (WIP) report to ascertain which work orders to be closed
  • Ensure all job cards and Work In Progress (WIP)  is up to date
  • Supply the dealer and suppliers with order number in order for repair to continue
  • Ensures all costs are correctly allocated to the work order and that the work order is closed without delay
  • Ensure that all required documentation is completed prior to closing work order and that is filed accurately and correctly according to DOS requirement
  • Obtaining authorisation / order numbers for repairs where necessary from the customers
  • Follow up and capture outwork invoices for services rendered without delay and prior to month
  • Ensure that all invoices have the necessary data required (VAT, mark up, order numbers) and that is displayed according to the Client’s and DOS requirement
  • Generate invoices and ensure that invoices are allocated and coded to the correct cost centres
  • Allocate labour cost to work orders according to the Client’s Standard Times
  • Responsible for submitting all failure reports and carrying out the necessary CSI reports daily
  • If work order exceeds customer credit limit, liaise with the appropriate for further arrangement to be made
  • Ensure Cash on delivery work orders are invoiced and that the invoices are issued to the service advisor to ensure payment  
  • Responsible for filing of all R & M, external, and internal work orders
  • When requested carry out other reasonable duties and responsibilities not specifically mentioned in the job description during the course and scope of employment

 

Education and/or Experience

  • Matric certificate or N3 or equivalent
  • Previous administration experience preferably in the automotive

  • Basic Knowledge of vehicle mechanical operations
  • Excellent organisational skills and administrative skills
  • High attention to detail
  • Effective time management skills and ability to meet strict deadlines
  • Able to work on own initiative and under pressure
  • Ability to organise own workload
  • Strong written and verbal communication and interpersonal skills
  • Customer service skills and ability to build
  • Computer skills MS office and Automaster
