SUMMARY:
Temporary Receptionist

POSITION INFO:

Receptionist duties will include but not limited to:

  • Greet and welcome visitors and contact the persons visited
  • Answer, screen and forward incoming phone calls
  • Answering questions about products or services offered in the company
  • Providing customer support to all company stakeholders
  • Ensure the reception area is tidy and presentable at all times, with all necessary stationery and material (e.g. pens, forms and brochures)
  • Provide basic and accurate information in-person and via phone/email
  • Receive, sort and distribute daily deliveries 
  • Work with the Security team to maintain office security by following safety procedures and controlling access via the reception desk. (Reporting any suspicious activities)
  • Order front office supplies and keep inventory of stock
  • Book meeting rooms and manage the bookings (Update calendars and schedule meetings, contact the users)
  • Participate in Occupational Health and Safety activities and exercises

 

As the first point of contact for the company, the Reception staff will be expected to:

  • Display highest standards of professionalism at all times
  • Be neat and presentable at all times
  • Have good time management skills and be dependable (Be at the reception desk by 07:30 each working day)
  • Have the ability to multitask and prioritize tasks
  • Represent the business with a positive attitude and professional appearance at all times
  • Not eat at the reception desk (use the provided pause areas for tea and lunch breaks) 
  • Never leave the reception desk unattended 
  • Adhere to all rules, policies and procedures

 

Requirements:

  • Matric
  • Proven 1-year work experience as a Receptionist or similar role
  • Proficiency in Microsoft word, excel and outlook
  • Professional attitude and appearance
  • Solid communication skills
  • Ability to be resourceful and proactive when issues arise
  • Excellent organisational skills
  • Customer service attitude
