SUMMARY:
Introduction: Our client in the cement manufacturing plant is urgently looking to appoint a Team Assistant/ Project Coordinator at Mozambique Gas Projects, Vilankulo.

POSITION INFO:

The successful incumbent will be responsible for providing administrative and project engineering services to the relevant team thereby also assumes responsibility for general departmental management and basic project engineering duties. Play a vital part in the administration and smooth-running of the team. Provide high level support services that impact the effectiveness of the managers and functional area.

Desired Experience and qualifications:

  • Minimum: Technical, Business and/or other relevant tertiary qualification in line with requirements
  • Minimum: 5+ relevant years of Experience
  • Logistics/Technical/Project/Business/Travel administration background

Duties and Responsibilities:

  • Providing administrative and clerical services in order to ensure effective and efficient operations.
  • Responsible for general area / department and is the team’s expert in methods and tasks efficiencies.
  • Operates within relatively standardised guidelines from superior/s regarding what is required and how it is to be done.
  • Constantly interacts with people in dealing with day-to-day effectiveness of delivery.
  • Duties performed may include, amongst others:
  • Team travel arrangements,
  • Vehicle fleet management,
  • Management of communication devices, including radios, mobile phones, data cards and satellite phones,
  • Taking and issuing of technical meeting minutes,
  • Preparation of documents and reports,
  • The use of office technology and reporting of defective IM and presentation equipment,
  • Compiling records,
  • Organizing and maintaining files,
  • Posting information,
  • Greeting/referring/assisting visitors/clients/staff/others,
  • Mail distribution,
  • Management of line manager calendar, and
  • Photocopying.
  • Delivers on time and within required standards. Deals with immediate and relatively short-term issues with procedural routine thinking challenges.
  • Using a variety of software packages, such as Microsoft Word, Outlook, PowerPoint, Excel, Access, etc., to produce correspondence and documents and maintain presentations, records, spreadsheets, and databases.
  • Devises and maintains an effective filing and tracking system, where required for the team.
  • Prints, faxes, and scans relevant documents (e.g., travel forms, etc.).
  • Sorts and distributes incoming post and organises and sends outgoing post.
  • Organises and stores paperwork, documents, and computer-based information.
  • Completes forms in accordance with company procedures.
  • Locate and attach appropriate files to incoming correspondence requiring replies.
  • Continuous engagement, interaction and collaboration with Team Assistants based in South Africa to ensure smooth transition of frequent traveller arrangements between the South Africa home office and the project site.
  • Coordination of communication between multiple contractors and the Sasol project management team.
