Supervisor: Order Centre - Exports (Sub-Sahara Africa)

SUMMARY:
An automotive company is looking for a Supervisor: Order Centre Exports (Sub-Sahara Africa) to be responsible for the day to day management of the order center team that includes the inbound, outbound, D2D and systems teams. Working in a team, you will be responsible for your individual tasks and will need to be able to work independently.

POSITION INFO:

Manage the exports team that includes the inbound, outbound, D2D and systems

teams.

Inbound
o Ensure order sheets are sent out and received on time
o Ensure pro forma invoices are correct
o Ensure PFI’s are correct
o Ensure order management is adhered to
o Compile Ageing inventory analysis
o Ensure payments are in place and payment follow up happens
o Escalate any matters for the inbound team
o Check that funds are available before system release
o For D2D check with Finance x2 weekly (funds)
o Ensure fitments are done on time
o Check the validity of DOA and QOS
o Check that the correct channel is used for all orders (tender or
quote)
o Check that the order calendar is communicated with the NSC

Outbound
o Ensure shipping instructions are sent out on time
o Ensure shipping schedules are received on time from source
plant
o Check the validity of all payment instruments
o Draft shipping documentation received on time for perusal and
communication on any required amendments or confirmation of
final issuance
o Pro-active communication with the NSC
o Submit bank documents to the bank on time

o Documents dispatched to the NSC on time and in accordance
with the LC instruction
o Any additional queries from both NSC or source plant
o Download the LC tracker from SAP and share with the outbound
team
o Uploads to be actioned for all re-invoicing shipments
o Timeous and accurate documentation to be sent to DB Schenker
o Attend all queries from forwarding agent timeously
o Assisting finance and auditors with finance queries
o Ensure all orders meet current month wholesale

Systems
o Check Pricing is done correctly between PFI and system and final
invoice
o System alignment – check that interface between SCOPE and
SAP came through correctly and 2 systems agree (pricing, end
item, VE pack)
o Timeous releases of vehicles on price validation
o Request system reversals or issuance of any debits and credits

Reporting
o Compile daily into stock report
o Compile wholesale management report
o Compile month-end manual shipment wholesale report
o Get RMB forex release requests from RMB and share with
Treasury. Share feedback from Treasury with team to action
o Get statement recon report from finance from Accounts
Receivable Manager and provide shipment confirmation and
payment details to Accounts Receivable Manager
o Compile forecasting report and send to DB Schenker
o Ensure that share point is updated accordingly with regards all
orders
o Ensure the LC’s are valid based on the LC tracker and adhere to
the conditions on the LC

Supervisory
o Performance appraisals
o Manage staff
o Any ad hoc tasks and reporting required

Key Experience /Qualification Required

Experience in OEM environment preferable;
Supply and Demand planning and co-ordination experience;
Computer literacy:
o Advanced Excel.

o Knowledge of SAP system beneficial (sales and distribution including
creation of financial documents)
NQF 7 qualification in logistics or finance
