A Site Finance Administrator (Clinical Trials) vacancy is available at our Client, Wits Health Consortium's Wits Clinical Research (WCR) in Soweto, Johannesburg - Gauteng.

Background

WITS CLINICAL RESEARCH (WCR) is a division of the WITS HEALTH CONSORTIUM (PTY) LTD, a wholly-owned subsidiary of the University of Witwatersrand in Johannesburg (South Africa) under the Wits Faculty of Health Sciences.

With WHC providing the core infrastructure, WITS CLINICAL RESEARCH is free to focus on conducting quality research in the fields of cardiology, cardiovascular risk factors (hypertension, smoking cessation, obesity, hypercholesterolemia, and diabetes), endocrinology, rheumatology, oncology, infectious diseases, respiratory, nephrology, gastroenterology, urology, surgery, vaccines and general medicine.
Our team of dedicated physicians and site staff are based at the Charlotte Maxeke Johannesburg Academic Hospital and the Chris Hani Baragwanath Academic Hospital in order to cover the high-density population located in the City of Johannesburg to the greatest extent. This large geographical coverage, along with an extensive patient database, and passionate recruiters at academic and government hospitals, day hospitals and local physicians, ensure successful patient enrolment in the studies at WCR.
Adherence to Good Clinical Practice Guidelines (ICH GCP) and South African Guidelines is first and foremost at WCR, and site Standard Operating Procedures reflect this commitment.

Main purpose of the job

  • To provide financial and general administrative support services to the site

Location

  • Charlotte Maxeke Johannesburg Academic Hospital & Chris Hani Baragwanath Academic Hospital

Key performance areas

Site Administration

  • Assist staff with reception and office administration as required
  • Assist with site maintenance where required (i.e. IT tickets, hospital and WHC maintenance, telephone lines, etc.)
  • Assist the site staff with arrangements to be made for participant visits (Patient transport with Uber, Vendor and investigator booking details, etc.)
  • Update the shared patient visit calendar

Finance

  • Verify captured products daily on fee trackers
  • Process invoices from site to sponsor, working with WHC Finance
  • Process specialist fee invoices and payments
  • Verifying of the transactions on the petty cash and patient transport weekly claim schedule
  • Sign off petty cash schedules and submit them to WHC Core on PMV system
  • Procurement of all site items as per WHC guidelines
  • Follow up on all relevant documents for submission to WHC finance
  • Conduct monthly stock takes of stationery and groceries
  • Process Creditor invoices as per WCH guidelines, on PMV system as well

Regulatory

  • Assist with compiling of regulatory documents for submission and ensure all signatures are in place
  • Assist the Sponsors with SAHPRA, WHREC and other regulatory application forms from sponsor companies and getting signatures from investigators
  • Assist the Sponsors in following up with regulatory authorities and sponsor companies regarding the status of applications
  • Maintaining relevant online trackers

Required minimum education and training

  • 3 Years diploma or degree in a finance-related field

Desirable additional education, work experience and personal abilities

  • Experience working in a research environment will be advantageous
  • Exceptional organizational and administrative skills with a working knowledge of Microsoft Office & basic Finances
  • Attention to detail
  • Able to maintain confidentiality, tact, and professionalism at all times
  • Able to exercise discretion, high levels of initiative and independent decision-making
  • Must be assertive, confident and adaptable
  • Self-motivated, able to work independently with a high regard for work ethic, values and integrity, and work as part of a multidisciplinary team
  • Traveling will and overtime may be required from time to time
  • Excellent communication skills (both written and oral) and the ability to establish and maintain effective working relationships with other Executives, managers, staff and external customers such as vendors and suppliers

Required minimum work experience

  • Minimum 4 Years’ experience in office administration
