The Geochemistry business provides analytical services to all aspects of the minerals industry, including Exploration support, Laboratory analysis, Commercial Transaction Support, Environmental Analysis and Industry Standard Practices and Quality.

SGS is looking for a seasoned Senior Administrator who will be responsible to ensure that the daily laboratory administration duties are executed to ensure customer satisfaction and efficient flow.

The ideal candidate for this position will be a person who acts with speed, composure, compassion and knowledge to solve problems and is a self-starting, organized individual, with excellent communication skills, and a strong attention to detail. This role provides a high level of service and support both internally and externally.

 

Primary Job Responsibilities

Reporting to the Section Manager, you in the role, are expected to:

  • Generating and issuing of quotes for all clients.
  • Generating of invoices including the record keeping and issuing to clients.
  • Investigating and resolving of all invoice queries and/or credit note requests.
  • Processing/monitoring outsourcing invoices and the internal debit (IDN).
  • In conjunction with Operational Section Managers, ensures that the applicable amended reports are billed for.
  • In conjunction with Quality Manager, ensures that the applicable re-assays are billed for.
  • Reconciliation of revenue forecast, revenue splits and revenue provisions.
  • Generating of reports and issuing to clients.
  • Assisting Finance team and/or Geochem Debt collector with debt collection/remittances and allocation
  • Manage COD client in LIMS. This include, but not limited to
  • Issuing proforma invoices
  • Tag Client to LIMS
  • Assist Finance with COD allocation
  • Keep COD statement current
  • Oversee drivers, vehicle logbooks, and general maintenance records and associated arrangements.
  • Reconcile petty cash statement, weekly or as required.
  • Plan, coordinate and schedule the workflow of the Administrators.
  • Allocate the daily tasks to staff to ensure smooth flow of work.
  • Coordinate all queries and forms of communication and respond satisfactorily.
  • Assist Section Manager with general administrative tasks.
  • Communicate delays, problems, breakdowns and/or any other applicable anomalies within reasonable timeframes to customers.
  • Liaise between client and the division.
  • Data entry of results into SLIM where necessary

 

Qualification and Experience

  • Degree or National Diploma in Business Administration and/or proven years of laboratory, knowledge, skills and experience sufficient to be recognized as a qualification through – Recognition of Prior Learning
  • BSc, BTech or National Diploma in Analytical Chemistry will be an advantage
  • Matric with Mathematics and Science as subjects
  • Minimum of 5 years’ experience in an administrative position in an analytical laboratory environment.
  • Excellent proven Client Services background
  • Familiar with SGS analytical practices
  • Minimum 5 years’ experience in customer relationship management
  • Strong knowledge of SLIM
  • Previous analytical and technical laboratory experience will be an advantage
  • Financial background will be an advantage
