SUMMARY:
Multinational organization seeks highly professional, highly confidential, and highly efficient Executive Personal Assistant with experience assisting 2 or more Executives (Directors) at the same time. Previous Corporate experience essential.

POSITION INFO:
Duties include:

  • Provide effective and efficient personal assistance and administrative support to Head Office Directors 
  • Coordinate Directors’ calendars and omnibus
  • Compile itineraries for internal and external Directors
  • Respond to and manage internal and external requests for the Directors
  • Prepare correspondence including reports, letters, memos, meeting agendas, and minutes
  • Assist in the development of presentations
  • Process quotations, purchase orders, invoices and ensure payments are made timeously
  • Manage travel requirements and expenses
  • Organize and finalize logistics for conferences and meetings, including all travel bookings and catering
  • Carry out general office administration duties
  • Stand-in for other Executive Assistant team members, as and when required
Requirements:
  • Diploma in Executive Secretarial/Office Management or related field
  • 10+ Years experience in an Executive Personal Assistant, Executive Secretary or Office Management function
  • Excellent communication and interpersonal skills, with the proven ability to build strong relationships
  • Ability to communicate effectively with all stakeholders with tact and diplomacy
  • Conscientious work ethic and proven ability to work efficiently and accurately and deliver high-quality work
  • Ability to work effectively and proactively under pressure within limited time constraints
  • Willingness to go the extra mile and work beyond normal hours of work whenever required to do so
  • Exceptional planning and organising skills and the ability to handle multiple tasks simultaneously
  • Proven track record of maintaining utmost confidentiality
  • Excellent attention to detail
  • Proven track record as an effective and harmonious team player, with an ability to manage conflict effectively
  • Demonstrated initiative and flexibility to adapt to developing situations
  • Demonstrated ability to exercise good judgement
  • A self-starter who is able to work independently with minimal (or no) supervision
  • Good command of the English language, verbal and written
  • Advanced proficiency with MS Office programmes
  • Valid Driver’s licence
  • Willingness to travel as and when required.
