SUMMARY:
The incumbent is expected to deliver a comprehensive administrative and secretarial function to the

POSITION INFO:

CORE PURPOSE OF JOB

The incumbent is expected to deliver a comprehensive administrative and secretarial function to the Psychology Department on South Campus, to ensure the efficient and effective functioning of the Department.

KEY PERFORMANCE AREAS

Provide secretarial support to the management team.

Interact with students and members of the public, clients, customers on a daily basis and rendering assistance and referring them to the relevant professionals.

Execution of financial transactions such as sending and following up on accounts including processing of online appointments.

Communicate and liaise with the HPCSA including preparing and processing of registration forms for students.

Communicate and liaise with external service providers such as Psychometric Test distributors.

Providing support in organising of departmental events.

Preparing for departmental meetings.

Maintaining a filing system for departmental documentation.

Providing information for departmental website.

Reporting and following up on maintenance requests.

CORE COMPETENCIES

 

Advanced knowledge of professional secretarial and office management tasks.

Demonstrated accuracy in financial administration skills.

In-depth knowledge of discipline-specific national and/or international professional societies and councils associated with Psychology.

Demonstrated ability to conduct, coordinate and implement multiple academic processes in an efficient and effective manner.

Ability to work well in a multicultural and diverse environment and to deal with and resolve issues, problems, conflicts and any crisis situation that may arise.

Knowledge of applicable University protocols and policies.

Ability to manage time and deliver high-quality work under pressure in a large and busy department.

Excellent interpersonal skills.

 

REQUIREMENTS

 

To be considered for this post, candidates must have all ofthe following:

1 Matric PLUS a completed one-year diploma in Public Relations / Communication or Administration.

2 Have two years completed similar work experience in a university or Tertiary Education environment.

3 Proven abilities to work in Microsoft Word, EXCEL, Power-Point and Outlook).
