CORE PURPOSE OF JOB

The incumbent is expected to deliver a comprehensive administrative and secretarial function to the Social Development Professions Department on South Campus, to ensure the efficient and effective functioning of the Department.

 

KEY PERFORMANCE AREAS

Internal support

Provide secretarial support to the management team

Preparation and support in organising of departmental meetings and events

Maintaining a filing system for departmental documentation.

Execution of financial transactions such as sending and following up on accounts including processing of online appointments.

Providing information for departmental website and Moodle site.

Reporting and following up on maintenance requests.

External support

Interact with students and members of the public, clients, customers on a daily basis

Render assistance and referring them to the relevant professionals

Communicate and liaise with external service providers as and when required

Communicate and liaise with the SACSSP on matters as required

Preparation and processing of SACSSP registration forms for students

Communicate and liaise with external service providers as required

 

CORE COMPETENCIES

 

1. Advanced knowledge of professional secretarial and office management tasks.

2. Demonstrated accuracy in financial administration skills.

3. In-depth knowledge of and experience in discipline-specific national and/or international professional societies and councils associated with the Social Development Professions

4. Demonstrated experience in working with multiple academic processes efficiently

5. Knowledge of applicable university policies and protocols

6. Demonstrated ability to work well in a multicultural and diverse environment and to deal with and resolve issues, problems, conflicts and any crisis situation that may arise

7. Ability to manage time and deliver high-quality work under pressure in a large and busy department.

8. Excellent interpersonal skills.

9. Working in Moodle and related university online and academic programs and systems

 

POST REQUIREMENTS

 

To be considered for this post, candidates must meet the following non-negotiable requirements:

1.  Matric PLUS a completed one-year diploma in Public Relations/ Communication or Administration

2.  Completed two years' work experience in a Secretarial or administrative assistant post at University or Tertiary institution level

3.  Experience in working in Moodle or a related academic online programme used at university or tertiary education levels

4.  Proven ability to work in Microsoft Word, EXCEL, Power-Point and Outlook.

 

 

ADDITIONAL INFORMATION

 

A Public Relations qualification and a Driver's license is an added advantage
