SUMMARY:
Our client, a family favourite in the industry, currently seeks a Retail Admin Manager, who will give support to the retail store administrative duties, including overseeing staff members, purchasing goods and materials and managing stocks to ensure profitability and sustainable growth within the store.

POSITION INFO:

Minimum Job Requirements:

  • Matric.
  • Administrative Diploma or B.Tech or equivalent an advantage.
  • Minimum 2 to 3 years bookkeeping experience.
  • Minimum 3 to 5 years supervisory experience in a Retail environment.
  • Good HR knowledge and skills.
  • Good computer skills (Excel, company Specific Information Systems e.g. Accpac).

Key Performance Areas:

Store Administrative Management:

  • Support all training and skills development commitments.
  • Follow up on training initiatives.
  • Consistently implement and follow disciplinary procedures and processes.
  • Actively oversee store personnel and ensure that all areas are adequately staffed to meet customer needs.
  • Provide store administrative support for all corporate sales initiatives at store level.
  • Support the Area Sales Manager and ensure ongoing clear and effective communication between Store and Head Office/Management.
  • Oversee daily administrative activities in the store and holding Supervisors accountable to areas under their control.
  • Support the Store Manager in anticipating sales volumes and ensure that there is sufficient stock on hand to meet the demands.
  • Ensure the equipment log is maintained and repairs and maintenance is recorded.

Financial Administration:

  • Process internal invoices and stock take figures.
  • Submit account payments to Head Office with approved invoices.
  • Allocate and reconcile inter-store transfers and submit documentation to Head Office.
  • Monitor bank accounts to obtain information for processing debtors’ receipts.
  • Monitor payments in line with submitted invoices.
  • Process any GRV’s and adjustments.
  • Oversee the processing of customer credit and debit notes and the filing of documentation.
  • Oversee accounts payable invoices and monitor the age analysis weekly.
  • Issue order numbers for approved repairs and maintenance and sundry purchases.
  • Oversee Cashiers and schedule shifts.
  • Ensure accurate record keeping and filing of personnel documentation.
  • Monitor cashing up and cash vault deposits.
  • Request additional services for SBV during non-scheduled times (Sundays and Public Holidays).

Financial Reporting and Analysis:

  • Process weekly bank reconciliations and submit to Head Office and Store Management.
  • Submit invoices and delivery notes/GRV’s to Head Office for payment.
  • Monitor expenditure and ensure correct stock system implementation.

Stock Control:

  • Ensure compliance with all inventory related standards, policies and procedures.
  • Monitor the processing of all stock receipts.
  • Oversee the monitoring of inventory recons and weekly stock-count for submission to Head Office.
  • Investigate inventory discrepancies and process approved adjustments.
  • Procurement of uniforms, PPE and dry store materials.
  • Oversee stock takes and process stock sheets.

Payroll Management:

  • Payroll capturing and processing of timesheets and overtime.
  • Ensure that all leave forms are approved and submitted for processing.
  • Ensure all deductions are processed.
  • Ensure compliance with DOL.
  • Liaise with staff and resolving payroll queries.
  • Ensure correct documentation is completed and submitted to Head Office for new employees.
  • Submit change of status documentation for employees, including salary increases and/or change in personal information.

People Management:

  • Identify, develop and implement competency and skills training.
  • Monitor and report on absenteeism and sick leave.
  • Schedule and authorise employee leave in line with policies and procedures.
  • Liaise with HR for any recruitment and/or promotion of staff in line with Corporate Equity goals and targets and working closely with HR to ensure all company recruitment policies and procedures are followed.
  • Ensure the application of the company principles in the stores and encouraging associated behaviours.
  • Investigate and resolve non-conformance issues timeously.
  • Ensure clear connectivity between good performance and associated rewards.
  • Identify and mitigate risk to employees and/or the company and report immediately on any identified risks.
  • Oversee HR and financial administrative functions at store level and ensure all necessary documentation is submit to Head Office for processing.
