SUMMARY:
My client is searching for a highly energetic, well-presented Receptionist that can assist with general administration duties (Girl Friday) Based in Pretoria East. Must be presentable, professional and hard working.

JOB DESCRIPTION:

Minimum requirements:
  • Matic
  • Additional certification in Office Management is an advantage.
  • Strong teamwork skills are required.
  • Proficiency in Microsoft Office Suite.
  • Proven work experience as a Receptionist, Front Office Representative, or similar role.
  • Hands-on experience with office equipment (e.g., computers and printers).
  • Professional attitude and appearance.
  • Solid written and verbal communication skills.
  • Ability to be resourceful and proactive when issues arise.
  • Excellent organizational skills.
Duties and responsibilities:
  • Front of office, collecting visitors from main building reception.
  • Greet and welcome guests as soon as they arrive at the office.
  • Managing the switchboard and messages, transferring to the appropriate staff member.
  • Responding and attending to employee’s visitors directing visitors.
  • Answer, screen, and forward incoming phone calls.
  • Maintaining office filing and storage systems, generating documents and minutes of meetings.
  • Updating and maintaining databases such as mailing lists, contact lists, and client information.
  • Arranging and monitoring courier service delivery.
  • Managing the boardroom bookings and ensuring that all boardroom equipment is available
  • and working as per customer requirements.
  • Managing and placing refreshments orders for clients.
  • Keep track of orders issued and the receipt of purchased goods, invoicing, and payments.
  • Log calls for office maintenance.
  • Provide backup support for other administrative staff, as required, and perform other related duties.
  • Printing out weekly in our logbook.
  • Manage Pool Vehicles used by staff.
  • Perform other clerical receptionist duties such as filing, photocopying, transcribing, and faxing.
  • Ensure the reception area is tidy and presentable, with all necessary stationery and material
  • (eg pens, forms, and brochures).
