SUMMARY:
Our client is currently recruiting for a receptionist/all-rounder to start with them soonest. They are in the property trade. 

This is a great opportunity for the right person that is able to multi-task on a daily basis.

JOB DESCRIPTION:

Duties and Responsibilities: 
  • Answering switchboard, screening calls, transferring calls, and taking messages.
  • Ensuring a neat and tidy office environment.
  • Ordering of all office supplies.
  • Checking the reception emails, the maintenance emails as well as the Red Rabbit maintenance program emails, answering and forwarding as necessary.
Extra duties from time to time:
  • The receptionist must ensure that all inspections both ongoing, outgoing, and interim are sent to the landlords and signed by all parties.
  • Arrange service providers to quote on maintenance issues as they arise, get quotes approved by landlords, ensure the work is completed, send invoices for payment, and follow up on these issues, this is very important. (The other staff members will assist with this process).
  • Posting adverts of the properties as they become available online, ensuring the photographs of the properties are of good quality to post.
  • Making appointments with clients enquiring about the properties available, checking with tenants/landlords and agents for access and availability that suites all parties, and following up closer to the appointment times that it is still in order with all parties.
  • Sending application forms to interested parties and assisting them with completing forms as needed, either telephonically or in person at the office.
  • Processing applications as they are received, ensuring all paperwork is in order and dates are applicable and acceptable, checking bank statements and payslips, phoning for confirmation of employment, references on previous landlords/agents, conducting credit checks, presenting the completed application to the agent and sometimes to the landlord either telephonically or on email.
  • Drawing up lease agreements and Annexures, scanning, emailing to relevant parties, and ensuring signatures are received.
  • Opening of hard and soft files for new properties/tenants.
  • Keeping track of leases that will be coming to an end and enquiring from both landlord and tenant timeously if they will be renewing their agreement and liaising/negotiating regarding the new terms.
  • Drawing up of lease renewals/addendums, ensuring all parties sign as this ensures a legal and binding agreement.
  • Keeping all files up to date, both hard and soft copies.
  • Having some IT knowledge will be advantageous as assisting with IT / technical matters e.g. reporting faulty switchboards, telephone lines, internet, e-mails, and rooter forms part of the duties.
  • Any other ad-hoc tasks necessary for the conduct of the employer’s business, as the employer may direct from time to time, driver's license and your own reliable vehicle are non-negotiable.
  • The employee is expected to provide a comprehensive support system to other staff members when required; e.g. when other staff members are on leave or sick leave. in addition, you will be required to be pro-active, creative, and able to originate well-rounded correspondence in both English and Afrikaans, this being a vital and integral aspect of this position, therefore communication skills, verbal and written is extremely important.

On-the-job training will be provided 


Minimum Requirements:
  • Must have reception experience
  • Must be computer literate
  • Communication is key and as such must be able to communicate well. (Afrikaans and English)
  • Clear Credit and Criminal Record
  • Own transport is a must
