RECEPTIONIST / ADMIN ASSISTANT

The candidate will be responsible for managing front-office operations while providing comprehensive administrative support to the finance, HR, and sales functions. The candidate will ensure professional client interaction, efficient office coordination, accurate record-keeping, and adherence to company policies and statutory requirements.

- Minimum Grade 12 qualification
- Strong verbal and written communication skills
- High level of organisation with excellent attention to detail
- Ability to manage multiple tasks and prioritise workload effectively
- Competency in Microsoft Office and general office equipment
- Basic working knowledge of Pastel Partner
- Professional, approachable, and service-oriented manner
DUTIES AND RESPONSIBILITIES: The successful candidate would be required, but not limited to: - Managing reception and customer-facing activities, including welcoming visitors and assisting walk-in clients
- Handling all incoming and outgoing communication such as telephone calls, emails, mail, and typed correspondence
- Coordinating schedules, confirming meetings and appointments, arranging EE and union-related meetings, and recording minutes for the HR Manager
- Maintaining accurate records including signed delivery notes, credit notes, GRVs, and monthly transport reports to the General Manager
- Assisting the bookkeeper with data capture and supporting the sales office with monthly pallet reports
- Providing HR administrative assistance, including UI19 schedules, Momentum-related queries, and general employee documentation
- Preparing, completing, and submitting credit application forms
- Managing traffic fines, payments, and reconciliations
- Liaising effectively with shop stewards, factory staff, drivers, and internal departments
- Overseeing general office administration such as ordering stationery and maintaining office systems
- Ensuring compliance with internal policies, procedures, and all applicable statutory regulations
- Maintaining confidentiality at all times
