SUMMARY:
Renowned Real Estate Agency based in George is seeking to appoint a proactive and meticulous Rentals and Sales Office Administrator.
 
Please note that this is a 12-month fixed term contact.
 
Objectives of the role:

  1. The successful candidate will provide administrative support to the Rental Department in the Garden Route branch, including ensuring all compliance documentation is collected and correctly completed.
  2. Sales Administrator support role: In addition to be able to provide administrative support to the various parties in the sales transaction during the after-sales process from signature of the offer to purchase to registration of the property and the receipt and payment of commission.
  3. To assist and support the branch with the smooth running of the office through the effective management of secretarial and administrative duties where required as part of a team.


JOB DESCRIPTION:

Requirements:
  • Grade 12 / National Senior Certificate.
  • Experience as a Property Rental/Sales Administrator is ideal.
  • A valid Fidelity Fund Certificate will be an advantage.
  • Excellent time management skills with the ability to perform under pressure.
  • Meticulous and proactive.
  • Solution-orientated with strong organisational skills.
  • Approachable, confident, and friendly demeanour.
  • Places a high value on integrity and confidentiality.
  • Willingness to work after hours and/or over weekends when required.
  • Valid drivers’ licence with own reliable transport.
 
Key Responsibilities in Rentals:
  • Collection of compliant mandates and FICA documentation.
  • Liaison between tenants and service providers.
  • Dealing with maintenance related to the rental units.
  • Maintain positive tenant and landlord relationships.
  • Process application forms and perform credit checks and do rental collection.
  • Drafting of leases and renewals.
  • Listing of properties and supporting any marketing administration related to the rental properties.
  • Responsible for all day-to-day administration and accounting, including liaison with internal rental administration department, submission, or correct accounting forms, releasing of deposits, allocating funds, processing contractor quotes and invoices.
  • Responsible for ensuring that all relevant information and documentation is provided to the Rental Administration team in a timeous fashion.
  • Deal with all email and other correspondence related to the rental portfolio.
  • Timeously dealing with any client complaints or problems and escalating appropriately.
  • Sending emailers for new rental properties.
 
Key Responsibilities in Sales:
  • Confirming that FICA is completed, and all the relevant documentation is filed.
  • Communicate with the conveyancing attorney and seller via letter.
  • Obtain the deposit slip or confirmation of deposit.
  • Manage bond details if a bond is obtained.
  • Manage any amendments to offers or cancellations.
  • Reporting and regular engagement with the branch manager so that they are aware of any offers that are converted or cancelled.
  • Where PGP has been instructed to attend to certificates of compliance, order inspections, obtain relevant certificates and forward to conveyancing attorney.
  • Capturing of sales once all the suspensive conditions have been met.
  • Obtain confirmation of commission payment.
  • Management of outstanding sales and reporting on these monthly, including the expected monthly banking detailing the sales due for registration in the current month.
  • Download the expected banking report, detailing the sales due for registration in the current month.
  • Processing of commission report.
