Overview:Â

The Operations Co-ordinator has a strong administration aspect to it, with the successful candidate needing to be able to work in a fast-paced environment, pay attention to detail and be able to multi-task.Â

Minimum Requirements:

  • Grade 12
  • 3+ years administration experienceÂ
  • 1+ years Property Admin experience (advantageous)
  • Valid Driver’s License essential; own vehicle advantageous
  • MDA experience (advantageous)

Responsibilities:

General:

  • Co-ordinate in-going and out-going tenant inspections
  • Assist with maintenance of the property management system database
  • Assist with Property Permanent Files
  • Assist when needed with municipal accounts and queries
  • Draft ad-hoc correspondence to tenants and or service providers
  • Assist with drafting of property operational budgets
  • Assist with general office tasks
  • Assist with vehicle maintenance programmes
  • Assist with Ad-Hoc HR requirements related to the Novate maintenance staff
  • Assist with co-ordinations of maintenance staff

Maintenance / Repairs:

  • Co-ordinate all maintenance requests for rental properties.
  • Co-ordinate all planned recurring maintenance and update relevant schedules
  • Receive inbound tenant telephone calls/emails/WhatsApp’s
  • Deal directly with tenants and/or operations managers to:
    • Do initial item assessments (emergency or other)
    • Assign works per SLAs
    • Follow up on outstanding jobs in ensuring that maintenance issues are seen to timeously.
    • Update the property management system (Job Cards and related items)
    • Document tenant concerns
    • Define the scope and type of work to be performed accurately
    • Obtain quotes for necessary repairs
    • Co-ordinate and clarify the method for works execution in conjunction with the facilities manager
    • Keep tenant and operations mangers up to date with relevant issues
    • On works completion obtain relevant sign off documentation from the service providers (including COC’s where applicable), as well as customer satisfaction confirmation
    • Obtain relevant invoices from service providers and present to portfolio managers for sign off and processing
    • Ensure maintenance of incident data base
    • Collate purchase requests, obtain relevant approvals, and upload documentation to job on MDA
    • Issue purchase orders and instruct supplier to proceed (including assisting with obtaining approvals)
