Project Manager

POSITION INFO:

You will be responsible for:
1. Defining project scope, goals, and deliverables in collaboration with project stakeholders and in accordance with HelloFCB''''s methodologies
2. Interrogating briefs and ensuring that all of the required information is present before work enters the system
3. Organising discovery sessions with project stakeholders to ensure that each project is properly planned for and scope is properly estimated
4. Preparing necessary and relevant documentation (scope of work documents, cost estimates, timing plans) to ensure the successful delivery of your projects
5. Setting up and maintaining project boards on MS Planner, distributing tickets to relevant resources and ensuring that they are completed
6. Organising, collaborating with and leading multiple teams
7. Preparing project timelines with input from the Studio Manager about resource availability at the beginning of projects for Account Leaders to send to the client
8. Updating project timelines in the event of change control so that client is appraised of any changes to delivery dates
9. Ensuring that project teams understand their tasks and what is expected of them and ensuring this is delivered
10. Ensuring that project teams have all of the assets and information they need to complete tasks
11. Setting, tracking, and reporting progress on jobs to Account Leaders and the Business Operations Manager on a weekly
12. Scheduling reviews with project stakeholders and ensuring that they are attended
13. Identifying risks and effectively mitigating these with stakeholders
14. Managing project dependencies and workstreams
15. Timeously communicating expectations, risks, issues, and progress on jobs to Account Leadership and the Business Operations Manager
16. Tracking budgets by doing weekly financial recons of projects, escalating over-budget work to the Business Operations Manager
17. Collaborating with the Studio Manager and specialist departments to source the right skills and resources for the job
18. Reviewing, checking and approving the final delivery of your project
19. Manage deliverables with vendors, suppliers and freelancers, working with HR and Finance to load new users to the system and assisting with processing invoices and purchase orders with the Finance department

20. Weekly reports on the financial health and task progress of projects to the Business Operations Manager
21. Daily reports of task progress to the Studio Manager and Business Operations Manager during the Project Manager stand-up
You will need:
To have a minimum of +3 years digital project management experience
To have the relevant tertiary education to support this role
To understand and run projects according to basic project management methodologies and processes, such as waterfall and agile
To have strong leadership and interpersonal skills
To think strategically and be a problem solver
To be highly organized and work well under extreme pressure
To have an attention to detail
To effectively identify when and how to prioritize tasks
To understand the requirements of an integrated team (i.e. strategy, copy, design, print, development, QA, and more) To have a positive attitude
To be proficient in using typical project management tools (such as Gantt Charts, Project Progress Reporting Tools, Bug Tracking Software, etc)
To be passionate about everything advertising
Software Skills
Must be experienced in:
MS Project or Smartsheet o Excel Word
PowerPoint
Nice to have (but not necessary):
Visio
Photoshop
Adobe XD or wireframing tool
Bug reporting software skills
Chase or Jira
MS Teams
MS Planner
