SUMMARY:
Project Coordinator - 6 months contract

POSITION INFO:

Job Purpose

To provide professional support and manage the Project Manager’s office

Key Performance Areas

Office Administration

  • Provide high-level administrative and strategic support to the Project Manager
  • Assist in the management of permanent or temporary project staff as and when required
  • Manage resource allocation to support projects
  • Organising venues, catering and refreshments for meetings, and events
  • Coordinate meetings, take minutes and disseminate accordingly
  • Compile, and prepare presentations for the Project Manager

Management & Coordination of Projects

  • Ensure that projects are run in compliance with the organisation’s policies and procedures
  • Effectively manages projects provided to the Project Manager by external consultants, as well as manage internal projects  
  • Manage budgets and expenditure for projects
  • Manage project deliverables in line with the project plan
  • Establish and maintains the project documentation library
  • Ensure all project tasks are loaded onto the project tracking system
  • Develop project plans or specifications for internally driven projects
  • Maintain and integrates project plans
  • Provide support to the Project Manager in the implementation of any projects
  • Track & report on the overall project progress and performance
  • Advise and assist the project team with any administrative requirements
  • Ascertain that all project costs are within the applicable budgetary requirements
  • Scope and cost project and then manage the budgets of projects
  • Resolve and escalate any project issues to the relevant stakeholders
  • Review project planning within the department to ensure effective delivery of projects
  • Resolve issues related to the project
  • Ensure that Governance procedures are followed in terms of project planning and implementation
  • Prepare and present documentation and high-level reports
  • Collect, analyse data, and perform quality reviews

Stakeholder Liaison

  • Build and maintain positive and professional relationships with internal and external stakeholders
  • Liaise with both service providers and internal clients in respect of the implementation of project plans
  • Ensure smooth project communication with all stakeholders

 

Minimum Requirements

  • Diploma in Project Management
  • 3 years’ management level experience within Project Management or Business related field        
  • 4 years’ work-related experience within a tertiary education environment            
  • 3 years’ Project management experience
  • Have worked within a project team
  • Higher education framework
  • Procurement/Finance processes and policies
  • Organisational development exposure
  • Financial management
  • Legislative framework for Human Resource Management
  • Policies and procedures of the company
  • Strategic planning of the company
  • Stakeholders
  • Communication processes and technology

Recommendations

  • Previous experience in Higher Education institution
