SUMMARY:
Project Assistant

POSITION INFO:

An administrative projects assistant is needed to assist the projects team by providing administrative support and assistance in respect of all aspects of project leads. The administrative projects assistant will provide an efficient and responsive administrative and organizational service to the company. The ideal candidate must have previous secretarial and/or marketing and administrative experience preferably with construction/architectural industry experience background and must be prepared to handle a wide range of administrative support related tasks and be able to demonstrate the ability to effectively plan and organize their workload and the initiative to resolve issues quickly in an appropriate manner. The incumbent must be exceedingly well organized, highly flexible and enjoy challenges. If you are proactive and enjoy an exciting role then this position is for you.

Responsibilities:

•Assist the projects department with all daily requirements and calls
•Manage all lead reporting programs
•Undertake administrative duties e.g. setting up meetings, preparing presentation material for meetings, etc.
•Keep an updated client database
•Extracting and forwarding leads to projects team
•Assist the Projects Manager with organizational administration on a daily basis
• Prioritize and manage multiple projects simultaneously and follow through on issues in a timely manner
•Chase responses to requests and emails to/from the Projects Manager
•Maintain and present various reports on a timely manner
• Work with the Projects team to manage their calendars and schedule their meetings and travels.
•Update and maintain client databases

Candidate Requirements:

•Grade 12/St 10
• Minimum two years’ experience in a sales/marketing/administrative environment
•Exceptional organization and planning skills
•Good oral and written communication skills
•Maintaining positive relationships with clients
•Honest and trustworthy
•Ability to work under pressure and meet deadlines
• Reliability and good time management
•Good office/administration Skills
•Ability to maintain calendars and schedule appointments
•Computer literacy
•Able to manage multiple projects and responsibilities at once
•Ability to work easily and effectively with a wide range of people
