CORE PURPOSE OF JOB

SAIMI seeks to appoint an experienced Project Coordinator to oversee and coordinate development initiatives aimed at enhancing the capacity and capability of ocean's Sector Education and Training systems.

The position reports to the Programme Manager.

KEY PERFORMANCE AREAS

1. SET Capacity Development Programme Coordination

1.1 Support the mapping of the sub-sectoral maritime education landscape and detail all training provision.

1.2 Support the mapping of SET capacity and gaps and engage stakeholders on strategies to address the gaps for the next 5 years.

1.3 Engage with and provide support to education institutions (public and private) on curriculum, planning and delivery.

1.4 Industry engagement to identify skills gaps, verify demand-led education provision and work placement.

1.5 Coordinate the development of plans for SET infrastructure, equipment, and initiatives to enhance South Africa's ocean skills education and training system.

1.6 Coordinate skills working groups/reference groups.

1.7 Coordinate maritime sector skills audits, needs analysis and implementation plans.

1.8 Manage service providers and contractual obligations

1.9 Identify and promote employment and entrepreneurship opportunities

1.10 Assist with enterprise development plans for the maritime sector.

1.11 Ensure compliance by project stakeholders of relevant regulations/legislation/accreditation requirements.

2. Project Coordination

2.1 Participate in the development of project plans and monitoring, reviewing, and evaluating progress thereof. 2.2 Ensure projects adhere to frameworks and all documentation is maintained appropriately for each project.

2.3 Overseeing daily implementation of day-to-day operations of the project including needs assessment and setting goals and objectives.

2.4 Managing and coordinating all the administrative duties of the project including liaising with relevant stakeholders regarding buy-in, project status and milestones.

2.5 Coordinating and attending meetings including establishing and maintaining internal and external contacts as necessary.

2.6 Preparing and maintaining all related documentation and reports related to the project and managing provision of feedback and reports to stakeholders.

2.7 Acting as a resource person by performing research, analysing information, providing documentation, and preparing reports for stakeholders.

2.8 Verifies and analyses the accuracy of all data and information used or generated by project; resolves any discrepancies or problems.

2.9 Documenting and following up on important actions and decisions from meetings.

3. Information Management

3.1 Maintain current and relevant information the status of tasks on the project plan. 3.2 Prepare any narrative reports necessary, for approval by the Programme Managers to internal or external stakeholders.

3.3 Create and maintain a library of project materials.

4. Stakeholder Engagement

4.1 Serve as a primary point of direct administrative contact for the programme including liaising with internal and external stakeholders on a range of issues. 4.2 Assist with providing data, information and education on Operation Phakisa policy and strategic trends that may impact the achievement of sustainable outcomes within the oceans and maritime sector.

4.3 Assist with developing collaborative model framework.

4.4 Assist with developing sustainable stakeholder channels and platforms.

4.5 Organising, attending, and participating in stakeholder meetings.

4.6 Ensure stakeholder views are managed towards the best solution.

5. Financial Management

5.1 Responsible for maintaining budget within areas of responsibilities e.g. monitor and control expenditure on stationery, travel/accommodation, general expenses, events / functions. 5.2 Monitor expenditure and progress to ensure that targets are met.

5.3 Assist with preparing and monitoring Programme budget.

5.4 Liaise with Finance to ensure that the travel and subsistence component is completed in compliance with the University's financial processes and procedures.

5.5 Liaise with Finance to ensure that payments & reimbursements are made.

5.6 Liaise with the stakeholders to gather information and prepare the periodic financial reports for approval.
