Role Purpose:

The purpose of the Project Scheduler role is to develop, update and maintain project schedules in alignment with the cadence and process established for the program/project. The role is the central point of collaboration between program managers, project managers and resource leaders and is responsible for providing accurate and up-to-date project schedule and resource information as well as analysing project resource requirements, determining schedule status, and recommending solutions to resource conflicts.

 

Job Objectives:

Role Description:

  • Support IT Project Managers with the successful delivery of projects by creating, managing and maintaining all project schedules.
  • Support Project Managers with project budgets, cost estimating, and scope planning.
  • Execute all planning aspects of project phases, identifying order of events, sequencing of events, risks, conflicts and opportunities for streamlining project execution.
  • Create MS Project schedules from project estimates, develop Work Breakdown Structure (WBS) and incorporate them into project templates.
  • Synchronize any project scope changes with schedule and resource assignments.
  • Update, forecast and analyse impact of delays, communicating the status of the schedule and risk areas to key team members.
  • Provide central point-of-contact for all project resource planning, scheduling, and coordination.
  • Collaborate with project managers on weekly reports and metric as well as annual, quarterly and monthly reviews, ensuring real-time evaluations of task status, constraints, overlaps and gaps.
  • Perform schedule audits, escalate errors and recommend solutions.
  • Conduct resource capacity analysis to determine project labour requirements.
  • Conduct and capture project lessons learnt identifying project wins and opportunities for improvement.

  • Project co-ordination and scheduling- Ability to manage several project schedules at one time with frequent interruptions and change. Applies project scheduling process and tools to deliver quality project schedules and resource plans within specified time constraints.
  • Strong data management skills. Effectively manages and uses information to look for patterns and translate these into insights while having a sound grasp of database and reporting design concepts. Manages data as a valuable resource to unlock its potential for the organisation.
  • Analytical thinker with the ability to plan and forecast work and anticipate and mitigate problems while applying sound judgement in balancing competing demands and priorities.
  • Communication and reporting skills– Ability to communicate effectively to gather project schedule and resource information and disseminate project schedule and resource information accurately and succinctly.

Qualifications:

  • Degree or Diploma in Information Technology, Information Systems, Computer Science or equivalent (essential).

 

Experience:

  • 3-5 years'' experience in project scheduling in an Information Technology, Information Systems, Computer Science or equivalent role supporting projects throughout the full project lifecycle

 

Knowledge and Skills:

  • Proficiency in MS Office Suit (specifically Project and Excel) – (essential)
  • Good knowledge and application of project management methodology, techniques and tools in developing project plans, delivering tasks and tracking timelines and resources.
  • Knowledge and experience working with agile methodologies and in ITIL environments – (essential).
  • Knowledge and experience in cost estimating, scope planning and budgeting - (essential).
  • Experience in managing project scheduling and resource management stakeholders.
  • Ability to work in a high pressure fast paced environment.
