SUMMARY:
My client in research has an open position  for a Personal Assistant to an Executive Manager on a temporary basis of six months . The Executive Assistant will offer the level of support required, enabling the Executive and management to effectively perform and deliver according to strategic business plan.

JOB DESCRIPTION:

KEY RESPONSIBILITIES:
  • The incumbent will also be required to collaborate with communications to organise and to organise cluster events. Coordinate and organise events such as workshops, strategy sessions; ad hoc visits, etc. as and when required;
  • Manage and coordinate the cluster’s operations activities and calendar submissions to achieve the mining cluster business objectives. The incumbent is expected to liaise with various business committees e.g., Operational committee, planning office;
  • Coordinate and collate information using Microsoft power point, word and other worksheets relating to cluster operations, business plan, KPIs, etc;
  • Coordinate and schedule meetings internally and externally with clusters strategic stakeholders;
  • Provide administrative support and engage with management team members including other exec as and when required. Co-ordinate the clusters administrative requirements and discuss with management for appropriate delegation and execution assistance;
  • Draft and circulate management team meeting agenda and necessary presentation material. Capture accurately management team and other steering committee meeting minutes, for circulation and requires inputs timeously;
  • Provide accurate and verified information on enquiry by the management team members;
  • Manage the cluster executive manager’s diary effectively and efficiently;
  • Compile and distribute meeting packs in advance to ensure proper preparation;
  • Follow up on actions emanating from meetings on behalf of the executive manager;
  • Coordinate national and international travel arrangements of the executive cluster manager and ensure accurate itinerary;
  • Register suppliers and projects;

QUALIFICATIONS AND EXPERIENCE:
  • A National Diploma or equivalent SAQA level qualification in administration with at least 10 years’ working experience as a Personal Assistant to a Senior Manager or Executive.A Bachelor’s degree will be advantageous;
  • Experience in e-Procure, Webnow, Workflow & PeopleSoft;
  • Must be able to work independently with a high level of autonomy;
  • Must be professional, self-motivated, organised and proactive;
  • Must have the ability to handle sensitive/confidential information discreetly;
  • Must have stakeholder relations;
The following skills are essential:
  • Programme and project management;
  • Advanced computer skills (MS Office, Internet, IT literacy);
  • Good numerical skills and attention to detail;
  • Must be a self-starter and be able to work well under pressure;
  • Traveling will be required to visit several operational sites including stakeholder sites when necessary;
