SUMMARY:
Responsible for managing and organising of the Managing Director diary and daily activities.
POSITION INFO:
Duties and Responsibilities
- Complex diary management, both business and personal, for the managing director and wider team
- Creating detailed travel itineraries
- Extensive and efficient email correspondence
- Answering telephone calls in a timely fashion, taking clear and detailed messages
- Organising meetings, including booking venues, ordering refreshments and basic minute-taking
- Overseeing the creation of contracts, client packs and other documents, including their formatting, printing, binding and distribution
- Processing of expenses
- Arranging social events for both clients and the team
- Ad-hoc personal errands for the managing director
- Management of miscellaneous issues
- Readiness to be contacted out of office hours
- Attending to reception where necessary
- Handling confidential matters with discretion
Qualification required:
- Matric or equivalent
- Relevant Office Management qualification would be advantageous
- Computer literacy is a must.
Experience required:
- 3 - 5 years as a Personal assistant to a Senior Manager in a company
- Proven Diary management experience
Knowledge and skills required:
- Good command of English, both verbal and written
- Ability to interact with different people of different levels
- Competent with Microsoft Office suite
- Good organising skills
- Adhere to company policies and procedures.
