SUMMARY:
Our client is in the container shipping industry and is looking for a PA to join their team in the capacity of a Personal Assistant (PA) to the MD. Position is based in Umhlanga and is for immediate start.

POSITION INFO:

This  position requires the candidate to demonstrate the ability to effectively plan and organise workloads and the initiative to resolve issues quickly in an appropriate manner.  Manage and maintain the MD''s diary.

Provide an efficient and responsive administrative, organizational, and logistical service to the MD, thereby assisting him to manage and prioritise his time. 

Minimum Requirements:

  • Minimum 5 years’ experience in the role
  • Diploma – Professional Secretary or related
  • Certificate – Business Writing Skills
  • Minimum of 1 to 3 years of experience in Finance or Accounting or the equivalent combination of education and experience
  • Traceable references

 Responsibilities:

  • Conduct daily/ weekly meetings with the MD to discuss upcoming engagements, invitations, and other requests.
  • Ensure guests meeting with the MD are well taken care of. 
  • Ensure the MD is fully briefed on, or prepared for, any engagements/ meetings he is involved in.
  • Keep and retrieve files in an organised filing system.  Liaising with clients, suppliers and other staff.
  • Provide a service that is in line with the MD’s work habits and preferences.
  • Responsible for providing assistance to the management team during absences to ensure a high level of service is maintained.
  • Arrange and assist with travel, visas and accommodation for all staff.
  • Co-ordinate travel and accommodation requirements and ensure arrangements in place match with the MD''s requirements.

  • Keep and maintain accurate record of papers and electronic correspondence on behalf of the MD. 
  • Keep and retrieve files in an organised filing system.  Liaising with clients, suppliers and other staff.
  • Manage and maintain the MD''s diary.
  • Minute general/management meetings as required and complete research on behalf of the MD.
  • Provide an efficient and responsive administrative, organisational, and logistical service to the MD, thereby assisting him to manage and prioritise his time.
  • Responsible for providing assistance to the management team during absences to ensure a high level of service is maintained.
  • Schedule on behalf of the MD, meetings between him, his direct reports, and other individuals.
