Partner Administrator

SUMMARY:
Gijima, a leading South African ICT services company, is seeking a highly organised, commercially aware Partner Administrator (PA) to serve as the operational backbone of our strategic partner engagement within the Strategic Partners Group, in support of the assigned Business Unit.
Working under the direction of the Group Head: Strategic Partners and in daily collaboration with the BU Lead, the PA maintains the rhythm of partner relationships, ensures governance cadences are executed, drives partner pipeline administration, and keeps the Partner Management Portal (PMP) as the accurate, live record of all partner activity.

KEY RESPONSIBILITIES

Partner Relationship Coordination

• Schedule, coordinate and confirm all partner meetings across the partner portfolio, at the prescribed engagement frequencies
• Prepare meeting agendas with the BU Lead at least 3 business days before each meeting; attend as note-taker and distribute minutes within 24 hours with clear actions, owners and deadlines
• Maintain a live action tracker in the PMP for every active partner and follow up on overdue actions weekly
• Maintain the partner certification register (BDM and Engineer certifications) for in-scope OEM partners

• Maintain a live, accurate pipeline register in the PMP for all in-scope partners — updated within 48 hours of any engagement or opportunity change
• Track and administer deal registrations and MDF (Market Development Fund) applications and claims within OEM deadlines — zero lapses due to administrative delay
• Administer RFI/RFQ intake for submissions of R5M and above — log in the PMP and route for MD sign-off via the BU Lead within 1 business day
• Monitor opportunity ageing and flag any opportunity stagnant beyond 60 days to the BU Lead with a recommended action
• Support the BU Lead with joint partner GTM plans and pipeline presentations for quarterly EXCO and SPRB sessions

• Act as primary data steward for all in-scope partner records in the Partner Management Portal — the single source of truth, with no parallel tracking
• Complete PMP onboarding for all portfolio partners (full profiles across all 6 capacity dimensions) by end of Q1
• Update partner profiles, opportunity records and Capacity Index scores within agreed SLA timeframes; run monthly data quality checks

• Compile the quarterly Strategic Partner Review Board (SPRB) briefing pack, submitted to the Group Head 5 business days before each session
• Produce the monthly partner status report for the Group Head: Strategic Partners by the 5th of each month, and support the BU Lead's monthly revenue dashboard
• Maintain the master partner engagement calendar and the POC (Proof of Concept) status tracker for all active in-scope POCs
• Track and report Partner Capacity Index scores, flagging any partner falling below threshold to the BU Lead

• Ensure current partnership agreements, NDAs and MDF records are filed and accessible in the PMP for all in-scope partners
• Escalate partner relationship risks to the BU Lead within 24 hours, and PMP data gaps or system issues to the Group Head within 1 business day
• Alert the BU Lead to any partner certification at risk of lapsing; document any partner complaint in the PMP immediately

• Matric (Grade 12) — essential
• National Diploma or Bachelor's degree in Business Administration, Information Technology, Commerce, or a related field
• 3–5 years' experience in partner/vendor administration, alliance coordination, sales operations, or programme administration within an ICT environment
• Working knowledge of ICT / technology partner and OEM ecosystems — vendor programme experience advantageous
• Experience administering deal registration, MDF claims and OEM partner portals is strongly advantageous
• Proficiency in CRM / partner management systems (e.g. Microsoft Dynamics, Salesforce or similar) and MS Office (advanced Excel, Word, PowerPoint and Outlook)
• Exceptional organisational skills, attention to detail, and the ability to manage multiple concurrent partner cadences to deadline
• Strong written communication — minute-taking, report writing and executive pack preparation
• High level of professionalism and strict confidentiality regarding partner financial data, pipeline information and contract terms
