POSITION INFO:

Purpose of the Job:               

The individual will be responsible for providing their broad range of paralegal expertise and understanding, with extensive experience of working with legalities within a business. Offer Executive and Administrative support to the Senior Exco Member.

Main Functions, not limited to:

  • Preparation of all required legal documentation which would include, but not limited:
    • Record search, legal and factual research
    • Organize and analyse all required information for research
    • Cross checking and validation of all information required
    • All written reports are prepared and validated
  • Assisting when necessary with, drafting of all related documentation, which would include:
    • Briefs, pleadings, appeals, agreements, contracts and all legal memoranda
    • Applications, declarations and assist and prepare with any legal arguments
  • Ensuring that all any legal forms and or documents are accurately detailed, analysing and summarising
  • All administrative and case files are accurately kept
  • Keep up to date on all new related laws and regulations regarding the field
  • Screening of calls and determine according to best judgement how callers can best be assisted
  • Diary management, co-ordinating internal and external meetings
  • Dealing with and following up on enquiries in CEO’s absence
  • Client liaison and follow ups
  • Organise all travel arrangements both local and international
  • Organising, planning and co-ordinating international and local conferences and group meetings 
  • Accurate typing, editing, creating and finalising of documents within Planet Fitness Format.
  • Assisting with formatting, editing and typing of documents including proposals and reports in Word and PowerPoint
  • General organising and administrative support as required
  • Assisting and Managing the CEO’s personal duties and ensuring all requirements and requests are attended in an efficient manner

Critical Technical Skills or Competencies

  • Previous experience with the preparation of proposals and formatting of documents would be advantageous
  • Ability to prioritise work according to urgency and importance
  • Able to track sudden changes in order to ensure all tasks are met.
  • Must be able to multitask and cope with requests from a team perspective
  • Must be able to work independently and take ownership of responsibilities
  • Previously dealt with CEO’s and managed their diaries.
  • Ability to deal effectively with individuals at all levels, including members of client senior management and directors
  • High level of confidentiality
  • Excellent organisation and administration skills

Critical Interpersonal or Interactive skills

  • Professional and diplomatic
  • Able to work under pressure and meet deadlines
  • Preparedness to work overtime and weekends when required.
  • Self-motivated
  • Methodical and attention to detail

Qualifications and Experience

  • Post matric qualification will be preferred
  • Highly skilled and proficient in MS Office (Word, Excel, PowerPoint and Outlook)
  • Minimum of 10 years in a Paralegal Secretarial/Personal Assistant role or comparable experience.
  • 5+ years’ experience as PA for Director/ CEO
  • Must have thorough knowledge of the following:
    • Legal practices and principles
    • Research techniques
    • Terminology
    • Full understanding of legal communication practices and principles
    • Full understanding of the local legal regulations
