SUMMARY:
Highly talented Administrator required, with a proven record in providing a comprehensive administrative service in a fast-paced environment, with super-focused attention to detail and extraordinary organisational skills.

JOB DESCRIPTION:

Duties and Responsibilities (Include but is not limited to):
  • Ensuring that business stakeholders adhere to PMO’s Project Governance methodology
  • Assist PMO HOD & CIO with implementing and maintaining process controls
  • Documenting and effectively storing process documentation and ensuring that stakeholders comply with processes
  •  Ensuring that project KPI data is recorded in relevant systems 
  • Recording data on stakeholders adherence to Governance Gates
  • Ensure that data is accurate and up-to-date to provide management with real-time data (i.e. maintaining a projects data warehouse)
  • Preparing project performance reports for the CIO and PMO HOD – KPI reporting
  • Setting up core PMO project management meetings
  • Ensuring Agenda is prepared and shared 
  • Taking minutes in core PMO meetings
  • Keeping a record of Decisions taken and Action Items
  • Manage Action Items with stakeholders to ensure they are addressed
  • Identify risks and issues that could impact Project Portfolio performance
  • Provide potential corrective action when required
  • Make adjustments to action items when required to ensure issues are addressed appropriately
  • Obtain approval from the relevant stakeholders if the change requires change in requirements or expectations
  • Resolve queries regarding PMO methodology implementation
  • Liaise with the project teams to identify the impact of queries and actions required
  • Provide support to the team to ensure administrative queries are resolved
  • Provide weekly status reports on all projects – KPI drive
  • Report on issues encountered and completed activities
  • Provide HOD with monthly project reports
  • Manage own professional and self development

Key Requirements:

  • Grade 12 or equivalent (Essential)
  • Executive Assistant Certification (Beneficial)
  • PM or Agile Certification (PMP, Scaled Agile etc.) (Beneficial)
  • 5 – 10 years’ experience as a projects administrator or executive assistant
  • Experience implementing and maintaining project controls
  • Experience in data management
  • Experience in effective communication with external and internal customers
  • Knowledge of the application of project management methodologies and standards, particularly Agile
  • Firm grasp of fintech products and services and operational best practice
  • A deep understanding of fintech product enablement
  • Knowledge of payments and remittances
  • Knowledge of MS Office (Full suite)
