SUMMARY:
A position has opened up in a fast paced environment in Claremont for an Office Manager and PA to CEO.

POSITION INFO:

Requirements:

  • Grade 12
  • A tertiary qualification will count in your favour
  • At least 5 years experience in a similar role
  • Fluent in English
  • Exceptional organising, people, telephone and computer skills
  • Able to handle matters in a professional and confidential manner

Duties will include:

PA TO CEO:

  • Oversee, facilitate and keep up calender and timetable of CEO guaranteeing that gatherings, cutoff times, introductions and different obligations are completed consistently
  •  Email management, answer calls, arrange meetings
  •  Responsible for arranging meetings for the CEO
  •  Offer managerial help to CEO and other directors
  •  Screen and react to approaching correspondences (counting protests) to CEO''s office including calls, messages and walk-ins, guaranteeing right office circulation
  •  Secretarial help for gatherings as and when needed by the CEO, including drafting and coursing meeting plans, planning minutes, imparting meeting updates, affirming settings and masterminding rewards.
  •  Composing and circulating exhaustive minutes and activity focuses to all individuals post gathering and overseeing activity focuses.
  •  Drafting and composing reports, introductions, making accounting pages, graphs and keep up data sets as needed by the CEO.

OFFICE MANAGER:

  • Work closely with HR to guarantee that office arrangements and methodology are adhered to
  •  Answerable for the outward presentation and upkeep of the workplaces, liaising with HOD''s and the cleaning group to figure it out
  •  Deal with the organization and backing group at the office, (Receptionists, Housekeeping staff, Concierges and Filing Clerk). This includes giving training to ensure all internal processes are followed and adhered to
  •  Performance appraisals for direct reports
  •  Keep up office proficiency by arranging and actualizing office frameworks, designs and equipment procurement
  •  Set up and keep up SOP''s inside the Admin/Support division as and when required.
  •  Help with onboarding of new staff - for example set up of workstation
  •  Assign car park spaces
  •  Manage reimbursement of cell phone accounts and issue cell phones to qualifying staff
