Operations Manager

SUMMARY:
To manage and lead the team responsible for the operations process to ensure smooth execution of bulk edible oils and raw materials contracts and seamless delivery thereof.

POSITION INFO:

KEY RESPONSIBILITY AREAS:
Standard Operating Procedures
ï‚· Decide on systems and procedures best suited to the supply chain process from shipment to delivery.
ï‚· Establish or change existing rules or procedures to streamline current processes.
ï‚· Monitor and track implementation and ensure plans are translated into action making best use of people, finance and systems available.
ï‚· Manage several complex systems and processes.
Management of Contracts Execution & Logistics
ï‚· Supervise and monitor all communications relating to trades, foreign exchange, shipment and delivery periods to ensure smooth execution of contracts.
ï‚· Analyse and verify accuracy of information captured by administrators
ï‚· Ensure timely deliveries, invoicing, and debt collection.
ï‚· Manage and track interest and storage recoveries to minimise financial cost to the company
ï‚· Troubleshoot and resolve conflicts promptly by making decisions and ensuring these are actioned swiftly.
ï‚· Develop organisational systems to co-ordinate all operational skills so that there is alignment.
ï‚· Understand detailed working of operations, finance and other departments and provide professional advice to streamline processes.
ï‚· Set timelines for various key performance indicators annually, and run 3 year comparisons to ensure work is constantly evolving and improving.
ï‚· Compile monthly, quarterly and annual performance reports for submission to management
ï‚· Take overall responsibility and accountability for entire contracts and logistics function to ensure cost-effective and efficient service delivery.
ï‚· Maintain professional knowledge of entire department with responsibility for all rules, procedures and principles.
ï‚· Track current USD/ZAR interest rates and circulate to ensure correct rates are being used.
ï‚· Involvement with Finance to analyse profit and loss of every contract, and interrogation of anomalies – requires high degree of precision with no room for error.
Supervision
ï‚· Recruit and select employees with relevant knowledge and skill sets.
ï‚· Train team members, and manage their performance and discipline in a way that ensures productivity and excellence.
ï‚· Prepare and review performance targets with team.
ï‚· Ensure that all processes and procedures are understood, applied and consistently adhered to.
ï‚· Proactively monitor team work-load and assist/relieve/arrange relief for other contract administrators where necessary.
ï‚· Conduct meetings with relevant stakeholders for updates, progress tracking and addressing of issues and concerns.
ï‚· Hold regular team workshops and brain storm on methods to improve ways of working.
ï‚· Foster team values and behaviours such as accountability, transparency, knowledge sharing, innovation and team cohesion.

Qualifications
ï‚· Diploma in Business Management or equivalent
ï‚· Certificate in imports and exports related subjects (i.e International Commercial Terms (Incoterms))
Experience
ï‚· 5 years’ experience in bulk products contracts execution and international trade, 2 of which in a supervisory role.
Knowledge
ï‚· Working knowledge of SAP
ï‚· Working knowledge of Incoterms
ï‚· Understanding of imports and exports, customs clearance, documentation
ï‚· Logistics and supply chain practices
