SUMMARY:
An Operations Coordinator vacancy is available at our Client, Wits Health Consortium's Vaccines and Infectious Diseases Analytics Research Unit (VIDA) in Soweto, Johannesburg - Gauteng.

POSITION INFO:

Background

The Vaccines and Infectious Diseases Analytics (VIDA) Research Unit of the University of the Witwatersrand, formerly RMPRU (Respiratory and Meningeal Pathogens Research Unit) has for over 20 years conducted numerous studies to assess the burden of and to prevent vaccine-preventable diseases (VPD).

Current studies and projects include infant rotavirus and BCG trials, immunizing pregnant women to protect their infants against disease (including influenza, Group B streptococcus, and respiratory syncytial virus), and the Child Health and Mortality Prevention Surveillance (CHAMPS) initiatives.

In 2020, VIDA commenced two international trials on COVID-19 vaccines amongst several other COVID-19 studies. World Health Organization position papers directly refer to the work conducted by RMPRU and have used such data generated to inform policy and recommendations for vaccine implementation globally and here in South Africa.

By combining clinical, microbiological, and epidemiological expertise in an African setting, the unit has made significant contributions in vaccine development against the leading respiratory and enteric pathogens contributing to under-5 childhood morbidity and mortality in Africa and other low and middle-income countries.

VIDA aims to continue to save lives, especially children, across Africa and low and middle-income countries, through leading and pioneering research in the field of vaccines and infectious diseases.

Main purpose of the job

  • To provide coordination support to the Operations Manager in effectively managing the day-to-day operations of the Unit; to provide oversight of the general assistants and maintenance functions, unit administration, procurement, stock control, logistics and facilities, petty cash and study-related admin or coordination as needed

Location

  • VIDA - Chris Hani Baragwanath Academic Hospital and VIDA Nkanyezi, Rahima Moosa Mother and Child Hospital, Coronationville

Key performance areas

  • Procurement: Effectively coordinate procurement administration, processes and deliverables for the organization
  • Administration: Coordinate administration of key operational elements for office and research studies including stock (administration, systems, logistics, storage, control), petty cash (coordination, distribution, reconciliation) and office admin (compliance, SOPs, asset logs, finance support, meetings & events & spaces, regulatory support as required, filing & archiving support, Shared Services Centre support & general assistance to coordinate admin function of the organization)
  • Operations: Occupational Health & Safety coordination, logistics including shipments and fleet coordination (vehicles & drivers), asset tracking, buildings, facilities, housekeeping and general unit maintenance coordination, security, IT & infrastructure support
  • Staff management and customer service are critical to this role as is effective planning and attention to detail

Required minimum education and training

  • Grade 12
  • Good Clinical Practice (GCP) advantageous

Desirable additional education, work experience and personal abilities

  • A relevant qualification in office or business administration would be advantageous
  • Experience working in a donor-funded organization or NGO
  • Exceptional organizational and administrative skills with working knowledge of Microsoft Office
  • Able to maintain confidentiality, tact and professionalism at all times
  • Self-motivated, able to work independently and work as part of a multidisciplinary team

Required minimum work experience

  • Minimum 2 years experience in office administration and experience coordinating operational projects and/or teams

Demands of the Role

  • The role requires someone who is adaptable, flexible regarding evenings and weekends and able to work in a demanding and culturally diverse environment with frequent changes in enterprise resource planning requirements
  • Requires weekend and evening availability and commitment to early mornings
  • Sometimes requires heavy lifting
  • Strong project coordination skills a must
  • Must have own driver’s license and be willing and able to drive as needed
